About the role

The Senior Payroll Coordinator plays a vital role in supporting our team members by ensuring accurate, timely, and compliant payroll processing. This position serves as a trusted payroll expert, partnering closely with Human Resources, Benefits, Finance, and leaders across the organization to deliver an exceptional team member experience. The ideal candidate combines strong payroll expertise with a passion for service, attention to detail, and continuous improvement.

Responsibilities

  • Manage payroll activities for Stores and Distribution Center locations, including payroll tickets, timesheets, manual pay inputs, and payroll adjustments.
  • Process payroll transactions for immediate-pay state locations, including California, Colorado, Nevada, and Utah.
  • Review and approve team on-demand and off-cycle payment requests.
  • Verify, process, and audit late timesheets, absence adjustments, off-cycle check requests, and other payroll-related documents.
  • Fund payrolls pay cards and oversee pay card enrollment, distributions, and maintenance.
  • Place, track, and reconcile Wisely pay card and check reorder requests.
  • Respond to payroll-related employee inquiries in a timely, professional, and customer-focused manner.
  • Resolve payroll discrepancies through collaboration with Human Resources, Finance, Benefits, and other business partners.
  • Request stop payments and coordinate replacement checks when necessary.
  • Create, maintain, and update payroll documentation, procedures, and reference materials.
  • Review, verify, and correct payroll reports, records, and supporting documentation to ensure compliance and accuracy.
  • Prepare recurring and ad hoc payroll, compensation, workforce, and labor reports.
  • Assist in the development, enhancement, and maintenance of payroll, time and labor, absence management, and compensation reports.
  • Compose routine payroll communications and correspondence for employees, managers, and business partners.
  • Participate in payroll-related projects, system enhancements, testing activities, and continuous process improvement initiatives.
  • Provide cross-functional payroll support and backup coverage during team absences or increased workload periods.
  • Assist with special projects, audits, and organizational initiatives as assigned.

Requirements

  • Strong knowledge of payroll processing, payroll tax requirements, wage and hour regulations, and payroll compliance.
  • Experience with Workday, ADP, or similar payroll and human capital management systems.
  • Proficiency in Microsoft Office applications, particularly Excel for reporting, auditing, reconciliations, and data analysis.
  • Strong analytical and problem-solving abilities with exceptional attention to detail and accuracy.
  • Demonstrated experience in payroll processing, auditing, reporting, reconciliations, and resolving payroll discrepancies.
  • Excellent organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong customer service, interpersonal, verbal, and written communication skills, with the ability to effectively partner with employees, leaders, vendors, and business partners.
  • Ability to handle confidential information with discretion and exercise sound judgment.
  • Regular attendance is an essential function of this position to support payroll operations and team effectiveness.

Qualifications

  • High school diploma required; coursework in Accounting, Finance, Business Administration, or a related field preferred, or an equivalent combination of education and experience.
  • Minimum of five (5) years of payroll processing experience, preferably in a multi-state environment.
  • Certified Payroll Professional (CPP) certification preferred or willingness to obtain.
