About the role

Paralegals at Southworth PC form the operational backbone of our litigation teams, supporting EEOC and MSPB matters from intake through final disposition. In this role, you will coordinate complex case calendars, draft and prepare legal documents for attorney review, file materials through the EEOC Public Portal and MSPB e-Appeal, maintain organized digital files in MyCase and Dropbox, and communicate directly with clients, administrative agencies, and opposing counsel. Success requires initiative, disciplined time management, strong drafting ability, and sound professional judgment. By the end of your first ninety days, you should be able to tailor support to the working style of each attorney you serve and routinely meet billing and filing targets without day-to-day supervision.

Responsibilities

  • Manage client communication and case documentation.
  • Assist attorneys with drafting pleadings, correspondence, discovery, declarations, motions, and other case materials; prepare filings and hearing materials for attorney review.
  • Draft pleadings, discovery, correspondence, declarations, motions, settlement-related documents, and other case materials for attorney review.
  • Maintain and update client records and attorney schedules.
  • Conduct legal research and gather relevant information for cases.
  • Prepare and file legal documents with courts and agencies.
  • Coordinate with clients, witnesses, and experts to gather necessary information.
  • Develop cases from beginning to final resolution, including extensive motion practice.
  • Keep cases organized by establishing and organizing files, confirming case status with attorneys, and communicating case progress with clients.
  • Organize and develop case information, maintain client contact, and finalize documents.
  • Facilitate objective, results-oriented conversations with clients.
  • Monitor the paralegal Teams chat and pick up overflow tasks when capacity permits.
  • Investigate available SOPs or Mindset first, outline proposed answers, and escalate remaining questions to the Director of Litigation Support before approaching attorneys.
  • Communicate with clients daily—collecting records, scheduling meetings, and keeping them informed of next steps.
  • Communicate with agency clerks or opposing counsel for procedural issues such as extensions or discovery logistics.
  • Lead routine client check-ins once rapport and subject mastery are demonstrated.
  • Use MyCase for tasking, calendaring, and client messaging.
  • Use Dropbox for structured document storage under the firm’s naming conventions.
  • Use Google Workspace for drafts and video meetings.
  • Use EEOC/MSPB portals for e-filing.

Daily Workflow Expectations

  • Morning Review: Check email and internal messages, respond to time-sensitive communications, review case list and prioritize tasks, check upcoming hearings or deadlines.
  • Case Management Tasks: Work in priority order, draft pleadings, correspondence, discovery, declarations, motions, and other case materials for attorney review, follow formatting and tone guidelines, respond to client inquiries within 24 hours, and log interactions.
  • File Maintenance & Case Updates: Upload documents to Dropbox, record case notes and task updates, track deadlines and task completion.
  • Afternoon Wrap-Up: Confirm next day’s priorities, prepare documents, provide status updates, final email check and set out-of-office message if needed.

Requirements

  • Minimum of five years plus of paralegal experience, preferably in employment law, litigation, administrative agency matters, or a comparable fast-paced legal environment.

Performance Metrics

  • Minimum of 36 billable hours per week.
  • Narrative time entries reflecting value to the client.
  • Compliance with internal 5 p.m. ET and external midnight filing cut-offs.

Pay

$80,000–$95,000, depending on experience.
