Duties & Responsibilities
- Handle onboarding of new hires, transfers, civil service processing, data entry, and review of employment documents.
- Partner with Background Investigation Coordinator to ensure all required background checks are completed.
- Contacting candidates to schedule OHS appointments, extend preliminary offers, and send onboarding documents.
- Following-up with potential candidates regarding document submission and field/direct any HR related questions.
- Act as the point of contact between the candidate and the hiring departments.
- Reviewing onboarding documents for completeness including I-9, E-Verify, and work/education verification.
- Review and process employment actions in PeopleSoft (new hires, promotions, salary adjustments, data changes etc.) and send corresponding notification letters.
- Ensuring tasks are completed accurately and timely; may perform transactional work in the absence of others.
- Support and supervise other HR staff including double checking qualifications, background, etc.
- Ensuring all relevant HR practices and policies are being followed.
- Ensuring relevant positions are filled via the civil service hiring process and that all civil service regulations are adhered to.
- Maintaining accuracy and integrity of PeopleSoft (HR system of record for employee data); ensuring all personnel files are maintained including via OnBase system.
- Ensuring all onboarding is done following standard work and policy; including obtaining all relevant clearances as part of background investigation process.
- Contribute to the maintenance of reports, including the pipeline.
- Aid in filing of personnel related documents.
- Aid in system-wide initiatives including onboarding, promotions, and transfers.
- Performing other related confidential duties as assigned.
Minimum Qualifications
- Bachelor’s Degree from an accredited college or university in Human Resources Management, Business Administration, Public Relations, Healthcare Administration, Psychology, Communications or a related discipline and 2 years of experience in Human Resources within a public agency, nonprofit, hospitality or governmental sector; 2 years of which must have been in onboarding new hires or
- Associate’s Degree or 60 credits towards completion of a Bachelor's Degree from an accredited college or university in a discipline listed in 1 above or a related discipline; and 5 years of relevant experience in human resources or personnel administration, employee relations, learning and development, talent acquisition, customer service (involving dispensing information and resolving customer concerns), or in a related function requiring strong interpersonal, communication, and leadership skills and proficiency with technology, such as database management, Outlook, Peoplesoft, Oracle and other Microsoft Office applications, 2 years of which must have been in onboarding new hires.
Department Preferences
- Certifications Preferred:
- Professional certification or credential in Human Resources (e.g., SHRM-CP, SHRM-SCP, PHR or SPHR).
Preferred Knowledge Areas, Skills, Abilities, and other Qualifications
- Transactional Human Resources experience, including onboarding and/or background investigations.
- Strong customer service, interpersonal and relationship building skills.
- Analytical problem-solving skills.
- Time management skills and the ability to work under pressure with tight deadlines.
- Experience using the following computer programs and/or software:
- Human Capital Management (HCM) or other Human Resources Systems
- Microsoft Office Products
- Google Suite
