Position overview
The Senior Manager, Fund Administration, leads the development, governance, and execution of strategic fund administration initiatives across mutual funds and exchange-traded funds (ETFs). This role is responsible for driving initiatives from concept through implementation, including stakeholder collaboration, Board and governance committee approval processes, execution planning, and post-implementation oversight. The Senior Manager serves as a key partner to internal stakeholders, external service providers, and senior leadership to identify opportunities for operational enhancement, risk mitigation, regulatory alignment, and improved shareholder outcomes. The role also provides leadership in issue management, including the vetting, documentation, root cause analysis, remediation, and resolution of operational, compliance, and service-related matters, ensuring appropriate governance, transparency, and sustainable corrective actions. The Senior Manager will foster a strong control environment, ensuring adherence to regulatory requirements, governance standards, and organizational objectives. Through strategic leadership and effective execution, the Senior Manager drives continuous improvement, operational excellence, and scalable solutions that support the evolving needs of the fund complexes.
Responsibilities
- Manage the end-to-end governance process for fund administration initiatives, including stakeholder alignment, preparation of Board and committee materials, presentation support, approval tracking, and implementation oversight to ensure timely and effective execution.
- Lead cross-functional implementation efforts for approved initiatives, coordinating operational readiness, registration statement inputs, fund setup activities, and post-implementation validation.
- Serve as an escalation point for fund administration issues and operational events, leading issue vetting, impact assessments, root cause analysis, corrective action planning, and sustainable resolution across internal teams and external service providers.
- Develop and deliver Board and committee reporting related to strategic initiatives, operational risks, service provider oversight, valuation matters, financial reporting, tax, expenses, 15(c) processes, and key fund administration metrics.
- Support the oversight of regulatory reporting and disclosure requirements, ensuring filings, shareholder communications, and regulatory submissions accurately reflect organizational changes, initiative outcomes, and regulatory obligations.
- Support treasury-related activities and governance matters, including fund expense monitoring, fee arrangements, liquidity facilities, valuation escalations, and other fund-level financial oversight responsibilities.
- Support governance and resolution activities related to NAV oversight exceptions, pricing challenges, fair valuation matters, and operational errors, ensuring appropriate documentation, escalation, remediation, and Board reporting where required.
- Lead service provider oversight and strategic relationship management, evaluating performance against service-level agreements and key performance indicators, identifying improvement opportunities, and driving accountability for issue resolution and process enhancements.
- Champion continuous improvement across the fund administration function, identifying opportunities to strengthen controls, streamline processes, improve scalability, reduce risk, and enhance operational effectiveness.
- Maintain a robust governance and control environment through documented procedures, risk assessments, quality reviews, monitoring activities, and partnership with internal teams and external providers.
Qualifications
- Bachelor’s degree in accounting, finance, business, or related field.
- Eight years of experience in registered fund administration (‘40 Act mutual funds and/or ETFs), fund accounting, financial reporting, or product implementation.
- Expertise in board reporting and SEC filing processes for mutual funds and ETFs.
- Strong understanding of fund operations, including NAV calculation, custody, transfer agency, valuation, liquidity, and expense management.
- Excellent project management, organization, and communication skills.
- Proficient in MS Word and Excel.
Preferred Qualifications
- Certified Public Accountant (CPA) or Master of Business Administration (MBA).
- Experience as an Assistant Treasurer or comparable role.
- Prior oversight of third-party administrators, custodians, index providers, or authorized participants.
- Experience with automation tools, data quality controls, and board portal technologies.
