Senior Executive Assistant to the CEO

This role supports the CEO /Founder directly, handling calendar management, executive meetings, communications, and various errands. It requires managing multiple competing priorities, handling confidential information, and adapting quickly in a fast-paced environment.

What You’ll Do

  • Manage the CEO's calendar with sound judgment and authority
  • Coordinate all aspects of executive meetings
  • Prepare agendas, meeting notes, and follow-up action items
  • Monitor commitments, deadlines, and deliverables
  • Book flights, hotels, and ground transportation
  • Handle purchasing and errands
  • Coordinate leadership meetings, company events, and executive offsites
  • Track strategic initiatives and cross-functional projects
  • Conduct research and prepare summaries for CEO and executive decision-making
  • Improve administrative processes and help create organizational efficiencies
  • Perform other duties and special projects as assigned

Minimum Qualifications

  • 3+ years of experience providing direct support to a CEO, Founder, President, or other C-level executive in a fast-paced organization
  • Proven ability to handle highly confidential business, financial, personnel, and strategic information with discretion
  • Demonstrated experience managing complex executive calendars, scheduling priorities, and domestic travel logistics
  • Read situations quickly and solve problems before they're assigned to you
  • Judgment and discretion are critical in this role
  • Exceptional organizational skills with a proven record of managing multiple competing priorities while consistently meeting deadlines
  • Excellent written and verbal communication skills, including drafting professional correspondence and meeting materials on behalf of the CEO
  • Ability to prioritize competing tasks and adapt quickly in a fast-paced environment
  • Strong proficiency with Google Workspace, Microsoft Office, and virtual meeting platforms
  • Valid driver's license, reliable vehicle, and willingness to run local errands

Preferred Qualifications

  • Bachelor's degree in Business Administration or related field
  • Experience supporting C-level executives in a high-growth or manufacturing environment
  • Experience supporting Boards of Directors, investor relations, executive leadership teams, or their offices
  • Project coordination or operations support experience
  • Familiarity with manufacturing, operations, logistics, or startup environments
  • Experience managing complex domestic executive travel with multi-location scheduling and rapidly changing calendars and priorities

Essential Physical Requirements

  • Ability to remain seated and work at a computer for extended periods
  • Ability to remain standing for extended periods
  • Ability to remain moving for extended periods
  • Ability to communicate effectively in person, by phone, and electronically
  • Ability to occasionally lift and carry up to 40 pounds
