About the role

Spring Health is a global mental health company dedicated to eliminating barriers to mental health. This role supports our CEO and Chief of Staff, requiring a Senior Executive Assistant with extensive experience and strong organizational skills.

Responsibilities

  • Anticipate and address the CEO’s needs proactively
  • Prepare meeting materials, briefing documents, and agenda items
  • Maintain schedule accuracy, ensuring no missed or double-booked appointments
  • Ensure agendas and necessary documents are provided 24 hours prior to meetings
  • Optimize the CEO’s schedule to create more time for strategic activities
  • Coordinate external and internal meetings, handling correspondence and phone calls professionally
  • Support planning for CXO monthly meetings, executive leadership team meetings, and offsite meetings
  • Manage travel itineraries, logistics for meetings, conferences, and events
  • Organize and maintain confidential information, ensuring easy accessibility and retrieval
  • Conduct research and prepare reports and presentations for the CEO’s decision-making process
  • Perform delegated tasks, including maintaining the appointment calendar and household staff

Requirements

  • 10+ years of experience as an Executive Assistant supporting C-level executives
  • Exceptional organizational skills with the ability to multitask and prioritize tasks
  • Proactive mindset and the ability to act with a sense of urgency
  • Strong calendar management skills, adept at optimizing schedules
  • Excellent written and verbal communication skills
  • Proficiency in computer skills, including Google Suite, database management, project management tools, and online collaboration tools
  • Strong attention to detail and accuracy, particularly in managing confidential information
  • Flexibility and adaptability to changing priorities and demands

Qualifications

  • Ability to coordinate effectively with in-person and remote executives and team members
  • Discretion and confidentiality when handling sensitive information
  • Ability to maintain composure and work effectively under pressure
  • Experience with HRIS systems and knowledge of Spring Health’s software ecosystem
