Senior Executive Assistant to the Athletics Director, Kansas City Athletics, UMKC

About the role

This position provides high-level administrative support to the Athletic Director (AD) and Vice Chancellor (AD) and Deputy AD/Senior Women’s Administrator (SWA). Working directly with the Deputy AD/SWA, the Senior Executive Assistant manages complex scheduling, travel and logistics, and planning activities. In addition, the role will take on some business manager functions to assist in the overall workflow of the Athletic Department. The role serves as a trusted administrative partner who helps keep a highly visible, fast-moving athletics operation running smoothly.

Responsibilities

  • Serve as the primary point of contact for the Athletic Director’s and Deputy AD/SWA’s offices; manage day-to-day office operations and handle sensitive and confidential matters with discretion (approx. 20%).
  • Manage a complex executive and facility calendar, including leadership meetings, donor meetings, campus engagements, and public appearances; coordinate in- and out-of-state travel, itineraries, and logistics; manage speaking engagements and athletic event attendance (home/away/conference/NCAA). In addition, manage calendar and room settings for shared athletic conference room spaces (approx. 25%).
  • Draft, review, route and sort correspondence on behalf of the AD and Deputy AD/SWA, including screening and prioritizing incoming requests, preparing briefing materials, sorting emails, coordinating follow-ups on time-sensitive issues, and maintaining a SharePoint (or similar) repository for office documents. (approx. 20%).
  • Collaborate in, plan and execute high-visibility meetings and events such as department leadership meetings, donor/alumni events, and board or conference-related gatherings; coordinate on-site logistics, hospitality, and RSVP tracking with internal partners and external vendors (approx. 20%).
  • Support administrative operations functions by submitting and tracking expenses and reimbursements, tracking and submitting contracts (approx. 15%).

Requirements

  • A Bachelor's degree or equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.

Qualifications

  • Demonstrated experience providing high-level administrative support in a fast-paced, deadline-driven environment.
  • Proven ability to manage complex calendars, coordinate travel, and handle competing priorities with accuracy and urgency.
  • Excellent written and verbal communication skills, including drafting professional correspondence.
  • Strong judgment and discretion in handling sensitive and confidential information.
  • Proficiency with common office productivity tools (email/calendar, document creation, spreadsheets, and collaboration platforms such as SharePoint or similar).
  • Preferred Experience supporting executive leadership in higher education, athletics, or another highly visible public-facing organization.
  • Experience coordinating events involving donors, alumni, board members, conference offices, and/or external partners.
  • Familiarity with travel and expense policies, and reimbursements.

Pay

The anticipated hiring range for this position has been established as $53,976 - $65,000 annually. Salary is determined by a variety of factors, including but not limited to, the individual’s particular combination of education, skills, and experience, as well as organizational requirements. Your total compensation goes beyond the number on your paycheck. The University of Missouri provides generous leave, health plans, and retirement contributions that add to your bottom line.
