About the role
The Senior Executive Assistant provides high-level administrative and operational support primarily to the EVP, Head of Digital Media and other executives within the DTC Products Tech & Operations (DTC PTO) group, ensuring seamless day-to-day execution and alignment with business priorities. This role requires strong independent judgment, discretion, and proactive problem-solving to manage complex calendars, prioritize competing demands, and anticipate executive needs. Serving as a trusted partner and primary point of contact, the Senior Executive Assistant manages sensitive communications, triages stakeholder inquiries, and handles confidential information with professionalism and care.
The role coordinates travel, meetings, and events; prepares materials and correspondence; and tracks deliverables to support effective decision-making. It also contributes to broader departmental initiatives by coordinating logistics for events, offsites, and programs, and providing project and operational support as needed. The Senior Executive Assistant leverages technology, including AI and automation tools, to enhance efficiency and streamline processes. Travel is between 0-15% of the year, depending on priorities.
Responsibilities
- Provide administrative support to executives, including:
- Exercise independent judgment to determine meeting priorities, decline requests, and resolve scheduling conflicts based on strategic importance to business objectives.
- Proactively prioritize executives' daily schedules to ensure efficiency.
- Make recommendations and book travel arrangements, including flights, accommodations, and transportation.
- Anticipate executive needs and proactively develop solutions before issues arise.
- Independently triage and respond to stakeholder inquiries, determining which matters require executive attention.
- Exercise judgment in handling confidential business information, determining appropriate distribution and timing.
- Prepare travel and expense reports, ensuring accuracy and completeness.
- Create and prepare confidential correspondence, itineraries, and agendas.
- Serve as the primary point of contact, responding to stakeholder inquiries, managing sensitive communications, and determining appropriate escalation.
- Draft, proofread, and edit documents, reports, and presentations.
- Schedule, prepare materials for, and attend meetings; take notes and follow up on action items as requested.
- Take meeting minutes, track action items, and follow up on deadlines.
- Secure conference rooms, address audio-visual needs, and handle catering and hospitality requests for meetings with external guests.
- Submit guest registration requests, greet, and announce all external meeting attendees and incoming visitors.
- Manage the guest invitation process for large-scale NBA events and register Digital Media staff for events.
- Provide project support for Digital Media initiatives and programs as directed by the EVP, Head of Digital Media.
- Handle ad hoc business requests as directed by executives.
- Leverage AI and automation tools to streamline administrative tasks, improve efficiency, and enhance productivity.
- Provide general support to the Digital Media department, including:
- Coordinate and manage planned activities and events, ensuring all logistical components are secured (registrations, reservations, equipment, event space, travel arrangements, partnerships with internal and external stakeholders).
- Coordinate large department orders for special events and off-sites (supplies, merchandise, catering, etc.).
Requirements
- College degree with a foundation in Communications, Marketing, Business, Psychology, or similar (preferred).
- 7+ years of experience supporting executives in a fast-paced, corporate setting.

- Proven experience as an executive assistant in a similar administrative role.

Pay
Salary range: $125,000 - $140,000.
