About the role
The Senior Events Specialist will provide comprehensive operational and logistical support for our annual user conferences, Pantheon. Reporting to the Events Manager, this role is critical in ensuring flawless execution of key operational pillars, including managing the Pantheon Sponsorship program and overseeing internal booth strategy. The ideal candidate will own the strategy, design, and execution of the Pantheon expo halls, delivering a high-impact, revenue-driving, and engaging experience at scale. This role is open to remote candidates.
Responsibilities
- Sponsorship Program Management
- Collaborate with the Business Development team to develop and refine the sponsorship prospectus for Pantheon
- Support the Business Development team in selling sponsorship packages and booths
- Partner with the expo hall production team on booth design, layout, and logistics
- Own the sponsor-facing website experience, including managing sponsorship SKUs and web updates
- Track and manage sponsorship revenue, ensuring accurate financial reporting
- Serve as the primary liaison between sponsors/partners and the organization, resolving inquiries and issues
- Manage the planning and execution of large-scale sponsored events
- Act as the on-site point of contact for all sponsor needs during events
- Internal Booth Strategy
- Partner with the Audience Lead team to define and capture booth requirements for Pantheon, ensuring alignment with ServiceTitan's ROI goals
- Work with internal Customer Programs teams to identify their specific booth needs and objectives
- Coordinate with Customer Success to define requirements for the Solution Center presence at Pantheon
- Expo Hall Strategy & Experience
- Own the development of the overall expo floor strategy and layout (100,000+ sq ft), including booth placements, traffic flow, premium zones, and sponsor positioning
- Design and curate a dynamic expo experience with lounges, activations, stages, and networking spaces to enhance attendee engagement
- Lead the vision and execution of the turnkey booth program, defining design standards and ensuring a cohesive sponsor experience
- Serve as the primary owner of the exhibit house relationship, managing production, fabrication, and execution from planning through on-site delivery
- Partner with the internal creative team to translate strategic goals into clear creative direction
- Act as the central point of contact between internal stakeholders, sponsors, and vendors for seamless coordination
- Oversee on-site expo operations, including move-in/move-out, booth setup, and real-time issue resolution
- Ensure sponsor compliance with all booth specifications, deadlines, and operational requirements
- Contribute to additional Pantheon workstreams and special projects as a flexible, high-impact team member
Requirements
- Experience: 5-7 years in event management, specifically large-scale user conferences of 5,000+ attendees
- Platform Expertise: Proficiency with Cvent (website builder, registration logic, and reporting)
- Financial & Procurement Acumen: Ability to manage vendor invoices, track expenses, and navigate procurement processes
- Soft Skills: Collaborative, customer-service mindset, high energy, and ability to remain calm under pressure
- Communication: Exceptional written communication skills for managing sponsor expectations and internal queries
- Attention to Detail: Meticulous approach to managing complex tasks simultaneously
- Operational Comfort: Self-motivated, confident in fast-paced environments, and willing to travel for on-site event support
- Hands-on Experience: Working with exhibit houses and managing large-scale expo floor builds, including booth design and on-site execution

Pay
- United States:
- Zone 1 (CA, CT, DC, MD, MA, NJ, NY, VA, WA): $92,600 - $139,000 USD
- Zone 2 (All other US locations): $86,600 - $129,800 USD
- International: Compensation varies by location and will be discussed during the hiring process
Total compensation includes base salary, annual bonus, equity, and a holistic suite of benefits. Actual compensation is determined by relevant experience, skill set, qualifications, and performance.
