About the role
The Senior Event Producer partners with the Director of Catering, Sales Managers, and General Manager to lead event production for larger, off-premise catering events. This role oversees a team of Event Managers, ensuring events exceed client and guest expectations through planning, budgeting, vendor management, on-site execution, and post-event analysis.
Responsibilities
- Oversee event production for large-scale, off-premise catering events, coordinating team assignments and managing all event logistics from operations through breakdown.
- Develop supervisor packets and event paperwork, providing clear directions for on-site staff.
- Review Event Managers' paperwork to ensure execution standards are met, offering coaching and adjustments as needed.
- Liaise with third-party vendors to manage event rentals or services, negotiating costs and building pricing structures for profitability.
- Take ownership of the BEO (Banquet Event Order) post-sale, communicating production details to the client and directing the team to execute the vision.
- Serve as the primary point of contact for clients, venues, and vendors during event setup and breakdown, coordinating with sales, culinary, warehouse, and staffing teams.
- Identify potential risks or challenges and develop contingency plans to ensure successful event execution.
- Supervise Event Managers, including hiring input, coaching, performance management, scheduling, and event oversight.
- Ensure all event equipment and inventory is accounted for and returned as delivered.
- Conduct post-event analysis, gathering feedback and identifying areas for improvement.
- Act as the client’s primary contact for production-related conversations, including walk-throughs, tastings, and logistical planning.
- Stay updated on industry trends, technologies, and best practices to deliver competitive events.
- Monitor and resolve guest issues during events, ensuring appropriate follow-up and resolution.
- Identify operational challenges and collaborate with leadership to implement solutions.
- Ensure unit-level budgeted goals are met or exceeded, creatively managing event budgets while meeting stakeholder needs.
- Collect and submit invoices for timely payment.
Requirements
- Bachelor’s Degree preferred.
- 8+ years of experience in event planning, sales, or event management.
- Proven ability to manage events from conception to execution, including multitasking across multiple events.
- Excellent client communication skills for all levels of stakeholders, from C-suite to internal operations.
- Strong time management to meet deadlines, adapt to last-minute changes, and maintain high execution standards in a fast-paced environment.
- Ability to work evenings, weekends, holidays, and extended hours as required by event schedules.
- Experience managing complex catering events with budgets exceeding $150K and guest counts of 1000+ preferred.
- Previous leadership experience supervising Event Managers, Captains, or other event operations personnel.
Skills
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
- Experience with catering software such as CaterXpert or similar platforms.
- Knowledge of event opening and closing procedures.
- Food and beverage expertise.
- Local travel required (20-30%), with occasional out-of-market travel.
Pay
Starting at $85,000/year, dependent on experience.
