Senior Event Operations Specialist
Job Summary
The Senior Event Operations Specialist supports the Communications, Marketing, and Sales teams by leading the operational planning, coordination, and execution of customer-facing events across the enterprise.
This role serves as a centralized resource supporting divisional marketing teams with the end-to-end execution of tradeshows, customer tech days, open houses, conferences, and other strategic events. The position is responsible for managing timelines, coordinating cross-functional deliverables, ensuring operational readiness, and driving execution across multiple stakeholders including divisional marketing teams, creative resources, vendors, show partners, sales teams, and internal support functions. This role acts as the operational lead that ensures event strategies and messaging developed by divisional marketing teams are successfully executed on time and to a high standard. The role combines project management, event operations, vendor coordination, logistics management, and reporting responsibilities within a fast-paced enterprise environment. Significant domestic and international travel is required (up to 60%).
General Responsibilities
- Lead end-to-end operational planning and execution for enterprise tradeshows, customer events, tech days, open houses, and related marketing events.
- Develop and manage detailed project plans, timelines, milestones, and deliverables to ensure successful event execution across multiple concurrent initiatives.
- Serve as the centralized operational point of contact coordinating activities between divisional marketing teams, creative resources, vendors, sales teams, and internal stakeholders.
- Drive accountability across stakeholders by proactively managing deadlines, tracking deliverables, escalating risks, and ensuring readiness for all event-related activities.
- Cook up event logistics including booth planning, shipping, registration, onsite support, travel coordination, vendor deliverables, installation/dismantle schedules, and event operations.
- Partner with enterprise and divisional marketing teams to ensure messaging, creative assets, presentations, and supporting materials are delivered accurately and on schedule.
- Track event-related purchasing activities including purchase orders, invoices, budget tracking, and vendor coordination.
- Support integration of event lead data and attendee engagement into enterprise CRM and marketing automation platforms.
- Support post-event reporting and operational summaries for internal stakeholders.
- Comply with all procedures within the company security policy and adhere to applicable safety and health regulations.
Job Qualifications And Knowledge Requirements
- Demonstrated experience coordinating and executing complex events, tradeshows, or customer-facing marketing programs in a corporate or agency environment.
- Strong project management and organizational skills with the ability to manage multiple concurrent initiatives and deadlines.
- Ability to coordinate effectively across cross-functional teams and maintain accountability among stakeholders without direct authority.
- Experience managing operational logistics including vendors, timelines, shipping, onsite coordination, and event readiness activities.
- Strong communication and interpersonal skills with the ability to work effectively across marketing, business, and operational teams.
- Experience with CRM and marketing automation platforms preferred; familiarity with Salesforce and HubSpot is a plus.
- Experience with project management and collaboration tools is preferred.
- Strong attention to detail and ability to manage complex operational workflows in fast-paced environments.
- Ability to travel domestically and internationally as required to support event execution.
- Proficiency with Microsoft Office tools including Excel, PowerPoint, Word, and collaboration platforms.
- Demonstrates accountability, adaptability, problem-solving skills, and proactive ownership of assigned initiatives.
Education & Experience Requirements
- Bachelor’s degree in Marketing, Communications, Business, Event Management, Project Management, or related field.
- Minimum of 5–8 years of relevant experience in event operations, tradeshow management, marketing operations, project management, or related experience.
- Experience supporting enterprise-level tradeshows, customer events, and cross-functional marketing initiatives preferred.
- Or an equivalent combination of education, experience, and training.
- Being a Certified Meeting Professional (CMP) or having a Certificate in Meeting Management (CMM) a plus.
