Position Overview
The Senior Project Coordinator will be responsible for supporting and coordinating projects across multiple departments, ensuring smooth day-to-day operations and timely delivery of project milestones. This role requires a detail-oriented professional with excellent organizational and communication skills, a proactive mindset, and a proven ability to keep cross-functional teams aligned and on track. The ideal candidate thrives in a fast-paced environment and is passionate about keeping projects running efficiently from start to finish.
Key Responsibilities
- Coordinate and support the planning and execution of multiple concurrent projects, ensuring tasks, timelines, and deliverables remain on track.
- Develop and maintain detailed project schedules, action item logs, and status reports for internal teams and stakeholders.
- Serve as a central point of contact for project communications, facilitating information flow between team members, departments, and leadership.
- Schedule and coordinate project meetings, prepare agendas, capture meeting minutes, and follow up on action items.
- Track project progress against milestones and proactively flag delays, risks, or resource conflicts to project leadership.
- Aid with budget tracking and expense reporting to support project financial management.
- Maintain organized project documentation, files, and records using company tools and systems.
- Support vendor and contractor coordination, including purchase order tracking and delivery follow-ups.
- Contribute to the development and improvement of project coordination processes and templates.
Required Qualifications
- Bachelor's degree in Business Administration or Engineering, or related field of study. Equivalent experience considered.
- Excellent written and verbal communication skills, with a strong attention to detail.
- Ability to work effectively both independently and as part of a team.
- Experience using computers for a variety of tasks.
- Competency in Microsoft applications including Word, Excel, Projects, and Outlook.
- Knowledge file management, transcription, and other administrative procedures.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Ability to work on tight deadlines.
- Access to available transportation.
- Available to travel to various sites throughout the Bay Area.
Compensation and Benefits
- Salary: $60,000 - $65,000 per year, based on experience
