Senior Assistant Property Manager
About the Role
Under the supervision of the Property Manager, the Senior Assistant Property Manager assists in all areas defined as part of the Property Manager job description. This management role involves direct and indirect supervision of building staff, operations, and coordination of various functions to ensure client facilities generate satisfactory cash flow, property maintenance aligns with client standards, and customer satisfaction is achieved.
Responsibilities
- Manage building staff in the absence of the Property Manager or General Manager, including all managerial functions outlined in their job descriptions.
- Handle all building correspondence to and from clients, tenants, and vendors as directed by the Property Manager or General Manager.
- Maintain property files in an orderly manner, including leases and contracts.
- Obtain aging reports and follow up on delinquencies using company or client-directed policies.
- Process invoices with appropriate backup according to established procedures.
- Prepare lease abstracts for tenants and monthly rent rolls for management review.
- Coordinate tenant move-ins and move-outs, including furniture delivery and pickup.
- Manage tenant requests for above-standard work: obtain estimates, provide proposals, release work, and invoice tenants.
- Oversee maintenance of work order and purchase order systems.
- Develop and maintain a comprehensive Tenant Service Package, including tenant handbooks, anniversaries, holiday gifts, events, newsletters, and training programs.
- Ensure tenant information in the database is current and up to date.
- Update and maintain office procedures in the property Operations Procedure Manual.
- Ensure Certificates of Insurance for tenants and vendors are up to date.
- Oversee processing of management and maintenance staff hours, expense reports, and check requests for review and approval.
- Process above-standard tenant bill-backs (e.g., electrical usage, after-hours HVAC) in a timely manner.
- Assist in preparing annual budgets, CAM reconciliations, monthly financial reports, and bank deposits if processed on-site.
- Lead regular property inspections with janitorial, landscape, and other service providers.
- Participate in performance oversight of all service contractors.
- Oversee tenant improvement work with management oversight.
Requirements
- Bachelor’s Degree in Business or related field.
- 2+ years of real estate property management or related experience.
- Active Real Estate license in the state worked in or RPA or CPM professional designation(s).
- Basic understanding of computer software programs and base building systems.
- Basic understanding of CAM reconciliation, insurance, real estate taxes, and lease terms.

Work Environment
This role operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Regular travel between properties in varying weather conditions is required.
Physical Demands
While performing the duties of this job, the employee may need to travel between floors, climb stairs, and move between buildings in varying outdoor weather conditions. The role requires remaining in a stationary position (sit or stand) for 85% of the time, regular use of hands to operate office machinery, and frequent walking, talking, and hearing.
