SENIOR ADMINISTRATIVE ASSISTANT - SEATTLE
Position Summary
The Senior Administrative Assistant provides high-level administrative, operational, and logistical support to leaders and client-facing teams. This role requires exceptional organizational skills, proactive problem-solving, and the ability to manage multiple priorities while handling confidential information with discretion.
Key Responsibilities
Provide comprehensive administrative support with a proven record of sustained performance and reliability.
Manage complex scheduling for multiple clients and stakeholders, ensuring accuracy and efficiency.
Demonstrate strong follow-up and tenacity to gather required information and drive tasks to completion.
Anticipate leadership and client needs and take initiative to address issues before they arise.
Coordinate conferences and meetings, including registration, travel identification, logistics, and on-site support.
Support office and client events, ensuring smooth execution and attention to detail.
Manage office work requirements with flexibility for limited remote work as business needs allow.
Arrange domestic and/or international travel, including flights, lodging, ground transportation, and itineraries.
Manage expense reporting and invoicing using tools such as Concur.
Ensure accuracy, timeliness, and compliance with company policies.
Maintain a high level of proficiency in Microsoft Office Suite, including PowerPoint capabilities.
Format, edit, and prepare professional documents and presentations.
Utilize business systems and tools such as Concur, Spectrum, and DocuSign to support workflows.
Care for field swag ordering, inventory management, and distribution.
Maintain accurate records and ensure timely delivery of materials.
Maintain report of field assignments of foremen and superintendents utilizing payroll reports.
Required Skills & Qualifications
3-5 years of previous Administrative Office level work
Highly proficient with Microsoft Suite products (Word, Outlook, Excel, PowerPoint, etc.)
Strong time management and organizational skills with the ability to manage competing priorities
Exceptional attention to detail and follow-through
Self-sufficient, proactive, and solutions oriented
Excellent written and verbal communication skills
Proven ability to manage confidential information responsibly
Preferred Experience
Experience in senior-level administrative or executive support roles
Familiarity with expense management, travel coordination, and invoicing processes
Experience supporting multiple clients, teams, or field-based personnel
Previous experience with Spectrum, Concur and Smartsheet is a plus
Pay
$74-$101K
