Eddy SeniorCare PACE is seeking a highly organized Senior Administrative Assistant to support our Medical Records team with a strong focus on scheduling specialist appointments, diagnostic testing, imaging services, and coordinating transportation for participants.

Position Summary

This key administrative role is responsible for coordinating participant appointments from start to finish, ensuring all visits, tests, and procedures are scheduled, communicated, documented, and followed through successfully. The position also maintains electronic medical records, obtains medical documentation and results, and serves as an important liaison between participants, providers, and the interdisciplinary care team.

Key Responsibilities

  • Schedule specialist appointments, diagnostic tests, procedures, and imaging services.
  • Communicated appointment details to participants, caregivers, and the interdisciplinary team.
  • Track cancelled and missed appointments and ensure timely rescheduling.
  • Obtain specialist notes, test results, and other documentation for inclusion in the electronic medical record (EMR).
  • Maintain accurate, confidential medical records and support Health Information Management activities.
  • Provide front desk and reception coverage as needed, serving as the first point of contact for participants, caregivers, visitors, vendors, and providers.
  • Answer and direct incoming calls, greet visitors, manage participant sign-in and check-in processes, assist with participant inquiries, and ensure timely communication with the appropriate team members.
  • Support daily center operations by assisting with participant flow, handling incoming mail and deliveries, monitoring reception areas, and helping create a welcoming and professional environment.
  • Collaborate with clinical, transportation, and operations staff to address participant needs and resolve issues promptly.
  • Aid with authorizations, enrollment activities, report generation, and other administrative duties as assigned.

Qualifications

  • Associate degree or equivalent combination of education and experience.
  • Two or more years of experience in a medical office, scheduling, medical records, or healthcare administration preferred.
  • Strong organizational, communication, and customer service skills.
  • Knowledge of medical terminology and electronic medical records.
  • Understanding of HIPAA and healthcare confidentiality requirements.
