Senior Administrative Assistant
About the role
The Senior Administrative Assistant supports the Yale School of Medicine (YSM) Office of the Dean, facilitating operational and administrative priorities. This role involves general office support, managing workflows, coordinating logistics, and supporting various administrative tasks.
Responsibilities
- Oversees and coordinates administrative, program, and office activities.
- Serves as the principal source of information on policies, procedures, programs, and office activities.
- Coordinates travel arrangements, schedules meetings, and maintains inventory of supplies.
- Provides editorial support for journals and publications, proofreading and editing material.
- Determines administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences.
- Greets visitors, answers and screens telephone calls, and responds to mail.
- Formats, keys, proofreads, and edits correspondence, reports, manuscripts, grants, and other material.
- Coordinates meetings and appointments, and takes minutes or dictation.

- Intermediate level proficiency with Word, Outlook, Zoom, and MS Teams.
- Basic level proficiency with Excel and Adobe Applications.
Preferred Skills And Abilities
- Experience with PowerPoint and/or Qualtrics.
- Experience with Yale University supply ordering and expense systems.
- Experience submitting nomination applications for faculty awards.
Qualifications
- Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
Benefits
This position follows a hybrid schedule (3 days per week onsite), with the possibility of increased onsite presence based on operational needs. The exact schedule may vary.
