Senior Administrative Assistant
About the role
The Administrative Assistant supports the Vice President, Intellectual Property Litigation and other Vice Presidents within the IPTI Department. They provide advanced administrative support, assist with legal matters, manage calendars, process expense reports, and handle sensitive materials.
Responsibilities
- Answer phones, manage calendars, schedule travel, manage correspondence, schedule couriers, process expense reports, plan meetings/events, create or revise business documents, prepare presentations from source materials, handle teleconference, Web Ex and Blackberry/iPhone setups, manage billing, compile meeting materials, and other similar matters.
- Assists with legal matters, including records and file management, using Corporate Records tools and processes, and maintaining a centralized website.
- Aids in event planning, including scheduling meetings, conference rooms, audio-visual, catering, and guest registration/security clearance.
- Manages calendars for individual attorneys and maintains a centralized calendar.
- Assists with office supply management.
- Captures onboarding of new IPTI employees and contractors, including office space and technology.
- Handles sensitive, confidential, and privileged materials.
Qualifications
- Minimum 3 years of administrative assistant related experience.
- High School diploma or equivalent.
- Experience providing support to a VP level or equivalent.
- Intermediate to advanced knowledge of Microsoft Office Suite, Outlook, Adobe Acrobat, understanding of business processes and requirements.
- Self-starter able to function at a high level with general instruction.
- Builds strong relationships with peers and cross-functionally with partners outside of assigned group as necessary to enable effective and efficient Legal team operations.
- Team-oriented, can-do attitude and desire to be a productive contributor to overall organization.
- Learns quickly and can change course quickly when needed.
- Open to suggestions and innovation for improvement.
- Professional demeanor and ability to maintain confidentiality.

Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future. We offer a comprehensive package of benefits including paid time off (vacation, holidays, sick), medical/dental/vision insurance and 401(k) to eligible employees. This job is eligible to participate in our short-term incentive programs.
