Senior Admin Partner to CEO
The Senior Administrative Partner provides high-level support to the Chief Executive Officer, managing complex scheduling, coordination, and executive operations in a fast-paced, confidential environment. This role partners across functions to facilitate efficient execution of meetings, initiatives, and leadership priorities while serving as the primary point of contact for the Board of Directors.
Responsibilities
- Reports to the CEO and supports department/function priorities, communications, and operating rhythms
- Partners closely with the CEO and Executive Leadership Team to coordinate meetings, agendas, materials, action items, and follow-up
- Builds strong relationships with Board members and stakeholders, ensuring seamless coordination, confidentiality, and professionalism
- Anticipates Executive Leadership Team needs by understanding preferences, priorities, and organizational dynamics
- Serves as the primary point of contact for the Board of Directors, overseeing communications, meeting planning, logistics, and follow-up
- Establishes and models best practices for the Senior Administrative Partner and Global Administrative Partner community
- Manages the CEO’s appointment schedule, including meetings, conferences, teleconferences, and travel
- Schedules and coordinates all domestic and international travel, accommodations, and meeting logistics
- Prepares reports by collecting, analyzing, and synthesizing information
- Answers, screens, and directs telephone calls
- Produces and formats documents, presentations, and data (transcribing, editing, retrieving, copying, and transmitting)
- Organizes, reconciles, and submits expense reports in Concur
- Acts as an internal and external ambassador for Illumina, representing company values
- Collaborates with multiple departments, functions, and global leaders
- Creates and revises systems, procedures, and recordkeeping to improve efficiency
- Makes recommendations for new procedures to increase productivity and manage communications
- Completes operational requirements by scheduling and assigning administrative projects
- Manages highly confidential information with discretion and adherence to corporate governance policies
- Organizes and plans events, including conferences and meetings
Requirements
- Minimum of 10 years of related experience, with at least 5+ years supporting C-level executives
- 2-3 years’ experience supporting a CEO preferred
- Exceptional professional presence to engage effectively with executive-level stakeholders
- High School Diploma or GED required; Bachelor’s degree preferred
- Proficiency in calendar management, meeting/event planning, presentation preparation, and expense administration
- High-level proficiency in Outlook, Word, Excel, and PowerPoint
Pay
The estimated base hourly range for this role in the United States is $47.30 - $70.96. Placement depends on experience, skills, location, and internal equity. Most candidates are hired between the minimum and middle of the range. All employees are eligible for variable cash programs (bonus or commission), and some roles may receive equity as part of the compensation package.
