What You’ll Do
- Produce accurate customer invoices based on trip details, quotes, and agreements
- Maintain financial records and support reporting processes for aviation operations
- Work closely with internal teams and external customers to ensure billing accuracy and timely completion of month end deliverables
- Utilize systems such as BART, Acumatica, Excel, and Adobe Acrobat to process and analyze financial data, reconcile trip expenses, and prepare reports
- Prepare and process customer invoices based on trip details, quotes, and agreements
- Reconcile trip expenses and identify missing or inaccurate costs to ensure proper billing
- Communicate with pilots, internal teams, and vendors to gather receipts and required documentation
- Maintain daily trip logs, registers, and documentation in Excel and internal systems
- Prepare and maintain monthly owner profit and loss (P&L) reports for managed aircraft
- Verify and approve invoices such as fuel and service fees
- Process customer payments and support external reporting activities
- Monitor workload and prioritize tasks to meet strict deadlines, especially during month end closing
- Identify opportunities to improve processes, efficiency, and workflow
- Assist with special projects and provide backup support to team members as needed
Qualifications
- High school diploma required; Associate’s degree in Accounting or related field preferred
- Strong attention to detail and accuracy when working with financial data and invoices
- Analytical mindset with the ability to review data, identify discrepancies, and solve problems
- Basic to intermediate experience with Excel and accounting or financial systems
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Strong communication and interpersonal skills to collaborate across teams and with customers
- Ability to work independently while also contributing as part of a team
- Willingness to learn new systems, processes, and areas of the business
- High level of professionalism and ability to handle confidential information
