Security Administrative Assistant
About the role
The Security Administrative Specialist supports MARMC Security Department operations by managing security databases, access control processes, visitor requests, and security documentation. This is a contingent position pending contract award. The position is expected to be located in Norfolk, VA.
Responsibilities
- Technical and administrative support for security databases, including Personal Identifiable Information (PII) and Ships Visit Request (SHVR) systems.
- Maintain, update, and troubleshoot security spreadsheets, databases, access records, and related security documentation.
- Support security planning, development, testing, and maintenance activities by collecting, analyzing, and presenting security data.
- Support SHVR and contracting access control operations by coordinating with government personnel, contractors, and external agencies to maintain accurate access information.
- Monitor and process updates to command security systems, databases, spreadsheets, and records.
- Support development and implementation of security procedures related to access requirements, clearances, badging, fingerprinting, and personnel security.
- Process citizenship verification, visitor requests, camera passes, and access authorization letters requiring government approval.
- Maintain personnel access lists and coordinate updates with appropriate security personnel.
- Perform data entry, recordkeeping, auditing, and validation of security information in accordance with government standards.
- Maintain clearance records, non-disclosure agreements, visitor logs, access lists, and security files.
- Support processing and tracking of DoD visit requests, camera passes, and other security-related documentation.
- Affirm security operations and compliance with applicable government directives and procedures.
- Support physical security programs including access control systems, visitor control, badge management, security logs, key and lock programs, and secure area access.
- Support security programs including Operational Security (OPSEC), Information Security, Physical Security, Insider Threat, Personnel Security, Industrial Security, and Visitor Control.
- Perform base access reviews, visitor assistance, closing procedures, travel briefings, emergency support, and security inspections.
- Support security training programs and operation of security systems, including Access Control Systems (ACS).
- Support destruction of sensitive materials, CAC card resets, fingerprinting, and other security-related activities.
- Bid and proposal support if requested.
Qualifications
- An active secret clearance is required to be considered for this position.
- An HS Diploma/GED is required.
- Three (3) years of job-related security experience are required.
- Experience supporting security administration, security systems, access control, and physical security operations is required.
- Experience applying fact-finding, analytical, and problem-solving methods is required.
- Experience supporting security disciplines including Physical Security, Anti-Terrorism, Personnel Security, Industrial Security, Military Security Functions, Operations Security (OPSEC), and Incident Response is required.
- Experience with access control, surveillance systems, perimeter protection, facility hardening, and force protection protocols is required.
- Experience supporting background investigations, clearance processes, insider threat programs, and classified information protection is required.
- Experience with threat identification, security incident reporting, and mitigation activities is required.
- Experience with Microsoft Office Suite applications including Outlook, Word, Excel, PowerPoint, and SharePoint is required.
- Must possess basic computer literacy and data entry skills.
- Demonstrated proficiency in Microsoft Office applications (to include MS Word, Excel, PowerPoint, etc.) is desired.
- Strong attention to detail and organizational skills are desired.
- Excellent verbal and written communication skills are desired.
- Demonstrated problem-solving skills are desired.
- Must possess strong time management skills are desired.
- Must be able to work in a fast-paced, changing, and challenging environment are desired.
