About the role
The role of Secretary II involves providing administrative support to supervisors and managing various clerical tasks. The position requires a combination of specialized clerical experience and typing, stenographic, and secretarial skills.
Responsibilities
- Greets visitors and answers the telephone;
- Answers inquiries and refers callers to appropriate staff members;
- Takes messages and schedules appointments;
- Composes routine correspondence and reviews it for accuracy;
- Maintains files and organizes information;
- Procures supplies and coordinates travel arrangements;
- Communicates with external parties and explains details of services;
- Reviews and approves/rejects applications and claims;
- Supervises clerical subordinates in performing complex clerical tasks.
Requirements
- Experience in typing, stenography, and secretarial work;
- Knowledge of office equipment and procedures;
- Ability to communicate effectively both verbally and in writing;
- Strong organizational and time management skills;
- Attention to detail and ability to handle confidential information;
- Ability to prioritize tasks and manage multiple projects simultaneously.
Qualifications
- High school diploma or equivalent;
- Two years of specialized clerical experience;
- One year of general clerical experience;
- Substitutions allowed for education and experience.
