About the Role
Under direct supervision, this position performs school-based duties associated with assisting in the administration of special school programs, supporting school faculty, staff, and administration, and providing general office support. Employees in this classification function at an entry-level clerical capacity, handling tasks such as taking daily attendance, maintaining work areas, and assisting with student placements in special programs. The majority of work is clerical in nature.
Responsibilities
- Responds to internal and external customers in a timely, accurate, courteous, and empathetic manner, representing OCPS positively.
- Assists with the assessment and coordination of various special academic programs; picks up students and organizes groups for testing.
- Assists teachers with daily attendance in special academic programs and regular classrooms; prepares referrals and accompanying documentation; prepares, tracks, and files home visit forms.
- Assists with the placement of new students into special academic programs; distributes copies of placement to homeroom and directing teachers.
- Enters assessment data into a database and spreadsheet, including student name, reading teacher assessment, and placements.
- Prepares student assessment folders; divides assessment folders into groups and files them.
- Assists the directing teacher with taking daily attendance for special programs.
- Prepares and assists teachers with daily activities, including picking up supplies, making copies, and assisting with report card documentation.
- Orders and inventories supplies and materials as required; inventories returned materials.
- Checks with the attendance clerk for entry and withdrawal updates.
- Helps the facilitator prepare materials for teacher faculty meetings; sets up notebooks of relevant documentation for the facilitator, principal, and assistant principal.
- Assists with the daily upkeep of designated special program rooms and facilities; keeps working areas organized and neat.
- Answers the telephone; provides information and assistance; takes/relays messages to appropriate personnel.
- Monitors and patrols designated areas as required.
- Operates a variety of machinery, equipment, and tools associated with department activities, which may include a laminator, copy machine, or poster maker.
- Keeps up to date on current technology used by OCPS; attends training to ensure required skill levels.
- Ensures timely and accurate maintenance of information as part of job responsibilities.

Requirements
- High school diploma or GED.
- Up to six months of previous experience and/or training involving office work, or an equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities.

Physical Ability
Tasks involve the ability to exert light physical effort in sedentary to light work, which may include lifting, carrying, pushing, and/or pulling objects and materials of light weight (5-10 pounds). Tasks may involve extended periods at a keyboard or workstation.
Sensory Requirements
Some tasks require visual perception and discrimination, as well as oral communication ability.

Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
