School Building Coordinator - School Age
Job Summary
The School Building Coordinator provides administrative support within the Bucks IU Samuel Everitt School. Duties include supporting the school's daily operations, communicating with stakeholders, handling staff changes, overseeing visitor processes, maintaining records, and coordinating special events.
About the Role
This role serves as the main point of contact for building staff, communicates with supervisors, and supports the Building Administrator. It involves managing day-to-day operations, ensuring compliance with regulations, and assisting with various administrative tasks.
Responsibilities
- Serve as the main point of contact and administrative officer for building staff when the Building Administrator is off-site.
- Elevate issues to supervisors and communicate relevant information about Bucks IU programs, services, and staff to Everitt employees.
- Create personnel action forms (PAFs) for review and approval.
- Oversee the school building visitor process, including greeting and announcing visitors and ensuring compliance with site visitor log-in procedures.
- Maintain active staff and student records, expunge inactive records, and preserve confidential records.
- Enter and ensure accuracy of data in Bucks IU software systems, including Student Information Systems, and Microsoft SharePoint.
- Support arrival and dismissal procedures, coordinate school operations and safety procedures/drills, and assist with staff training.
- Prepare and coordinate special events and student activities, prepare the lobby directory, and support main office staff with entering data into the Student Information Systems.
- Assist other departments, supervisors, and school personnel with routine mailings and clerical activities.
- Evaluate and devise transportation changes and report transportation concerns to the transportation department.
- Prepare and alert district transportation and contractors of snow days and late arrivals.
- Support staff training to build capacity across programs.
- Compose ongoing communication, budgetary information, scheduling, and program effectiveness, including posting of vacancies, processing/screening of new hires, completing paperwork, and other personnel actions.
- Absorb and maintain current maintenance and inventory of staff equipment, supplies, and consumables.
- Assist other departments, supervisors, and school personnel with routine mailings and clerical activities.
- Evaluate and devise transportation changes and report transportation concerns to the transportation department.
- Prepare and alert district transportation and contractors of snow days and late arrivals.
Requirements
Minimum three (3) years' administrative experience. Advanced computer competency in various databases and Microsoft Office programs, and the ability to learn other software as needed. Excellent organizational, interpersonal, and time management skills. Excellent oral and written communication skills.
Qualifications
High school diploma or GED equivalent required. Associate’s degree preferred.

Schedule
This is a full-time, 260-day calendar position. Days and hours of work are Monday through Friday. Hours of work may vary based on position and division but generally are from 8:00 a.m. to 3:30 p.m. Occasional evening and/or weekend work may be required as job duties demand.
