About the role

As a Scheduling Specialist, you will provide services to patients and referring professionals by answering phones, managing faxes, and scheduling appointments.

Responsibilities

  • Answer phones and handle calls in a professional and timely manner.
  • Maintain positive interactions at all times with patients, referring offices, and team members.
  • Schedule patient examinations according to existing company policy.
  • Ensure all appropriate personal, financial, and insurance information is obtained and recorded accurately.
  • Ensure all patient data is entered into information systems completely and accurately.
  • Advise patients of financial responsibilities, appropriate clothing, preparation kits, transportation, and/or eating prior to appointment.
  • Communicate scheduling changes to technologists to ensure the highest level of patient satisfaction.
  • Maintain an up-to-date and accurate database on all current and potential referring physicians.
  • Handle overflow calls for other centers within the market to ensure uninterrupted exam scheduling for referring offices.
  • Provide backup coverage for front office team members as requested by supervisor (e.g., rest breaks, meal breaks, vacations, and sick leave).
  • Field 1-800 number calls and route to the appropriate department or associate (St. Louis Park only).
  • Pre-certify all exams with the patient's insurance company as required.
  • Verify insurance for same-day add-ons.
  • Use knowledge of insurance carriers (e.g., Medicare) and procedures that require waivers to obtain authorization prior to appointment.
  • Perform other tasks and projects as assigned.

Requirements

  • High school diploma or equivalent.
  • Microsoft Office Suite experience.
  • Proficient with using computer systems and typing.
  • Able to handle a multi-level phone system with a high volume of calls at one time.

Qualifications

  • One (1) year of customer service experience (preferred).
  • Medical terminology and previous clinical business office experience (preferred).
  • Bilingual (preferred).

Schedule

Full-time, Monday–Friday, 9:30 AM–6:00 PM.
