Job Summary

The Office of the Registrar at CU Boulder invites applications for a Scheduling & Curriculum Coordinator. This position oversees and assists departments with their class schedule build out each semester along with other class-related processes.

About the Role

Represents the Academic Scheduling unit of the Office of the Registrar on a range of complex scheduling, operational, and administrative issues related to academic course offerings. Works with constituents to support scheduling processes and accurate class set up. Provides enhanced guidance for specialized needs related to program support, pedagogical requirements, and campus initiatives.

Responsibilities

  • Develops a clear understanding of technology requirements and other specialized space needs to ensure effective assignment of classroom spaces.
  • Maximizes space utilization and ensures compliance with space policies.
  • Makes appropriate updates to class sections and instructs liaisons on their work.
  • Provides initial overall training and ongoing guidance to the academic department liaisons.
  • Answers liaison questions and initiates deeper investigation to find answers to uncommon requests.
  • Answers Academic Scheduling e-mail, responds to requests and questions related to general course and class inquiries within stated service level agreements.
  • Provides technical assistance and guidance to academic departments and deans in the development of a comprehensive schedule of classes in Campus Solutions for fall, spring, and summer semesters.
  • Trains and advises users and troubleshoots applications.
  • Develops expertise with Course Inventory Management (CIM) for Courses and Campus Solutions Course Catalog, makes appropriate course updates when applicable, uses knowledge of course data to answer inquiries, and troubleshoot class issues.
  • Reviews scheduling summaries, time conflict reports, error and clean up reports, and space utilization reports to address class schedule issues.
  • Runs queries, compiles data, and prepares reports using filters and searches in various applications to answer questions and address report requests.
  • Updates internal procedural documentation, external documentation, training materials, and scheduling forms.
  • Collections internal scheduling data and data from other units to identify potential areas for improvement.
  • Works closely with units across campus including department administrators, scheduling liaisons, OIT, CU Events Planning, special programs, and building managers to schedule and report on academic-related reservations.
  • Develops expertise with 25Live application to use for scheduling a variety of reservation requests for academic departments, including complex, multi-day, or time variable reservations.
  • Understands scheduling parameters, policies and procedures, and advises departments on their requests accordingly.
  • Maintains data within the 25Live application and ensures accuracy of space, organization, and contact data.
  • Develops proficiency with 25Live reporting tools to answer a variety of inquiries.
  • Collaborates with CU Events Planning on event requests, integration of data across scheduling systems, and scheduling practices.
  • Backs up the Assistant Registrar by analyzing course and class changes requested by colleges by examining their correctness within the framework of policies, best practices, and application requirements. Provides coverage for the unit to constituents and represents the unit at various meetings and committees.
  • Responds to Academic Scheduling e-mail, represents the unit when responding to requests and questions.
  • Participates in office-wide initiatives.
  • Completes other duties as assigned.

Qualifications

  • One year of experience with Campus Solutions or another student information system.
  • Two years’ experience working with Campus Solutions and scheduling software (preferably Series 25) course/class set-up, analysis, and design plus two years’ experience with increasing responsibilities in a university setting, either within a Registrar’s Office or another office responsible for Academic/Class Scheduling.
  • Experience with system implementation and scheduling.

  • The annual hiring range for this full-time position is $60,000 - $62,000.
