About the role

Villa at Pine Place is seeking a Scheduling Coordinator to join their team. The Scheduling Coordinator is responsible for scheduling staff to ensure appropriately licensed/certified employees meet needs, preparing and maintaining daily and monthly schedules as staffing needs arise.

Responsibilities

  • Understand scheduling system and shift management, aligning staff to support hours via scheduling.
  • Meet with HR designee, Administrator, and Director of Nursing (DON) to review previous, current, and future staffing pattern status; review staffing requirements and staffing/hiring needs.
  • Develop, implement, and coordinate the day-to-day scheduling and assignments of nursing staff consistent with patient-per-day (PPD) management and minimum staffing requirements.
  • Attend and participate in in-service training, performance improvement (“QPI”) committees, and other meetings as scheduled and directed.
  • Maintain inventory and issue uniforms to newly hired employees, as assigned.
  • Maintain records of all in-servicing for staff, partnering with HR designees and training department to schedule required training.
  • Monitor labor hours to ensure scheduled hours don’t exceed budgeted work hours.
  • Track absences and reasons for absences for purposes of infection control, maintaining confidentiality.
  • Maintain inventory of supplies, submit orders, and process invoices, depending on facility’s needs.
  • Perform all other duties as assigned.

Requirements

  • High School Diploma or equivalent.
  • +1 year of Point Click Care (PCC) Experience, preferred.
  • Bookkeeping or accounting experience, preferred.
  • Prior experience working with the elderly and/or in long-term care, preferred.

Skills

  • Ongoing and in-depth understanding of the financial modules used to support processes and patient care.
  • Strong verbal and written communication skills in English to perform the tasks required.
  • Sufficient computer and budgeting skills required to perform duties.

Physical Requirements

  • Walking, reaching, bending, lifting, extended sitting, grasping, fine hand coordination, pushing and pulling, with or without the aid of mechanical devices.
  • Ability to distinguish smells and temperatures.
  • Limited potential for exposure to environmental hazards.
  • Understanding and adherence to company safety standards and protocols required.
