A leading international senior home care company is seeking a dynamic Scheduling Coordinator in Boulder. This role is responsible for organizing the delivery and administration of personal care services, creating a supportive environment for teams, and ensuring the success and growth of the organization. Responsibilities

  • Manage workload based on goals, initiative, and prioritization.
  • Select, schedule, and coordinate caregivers based on assessment and care plan information for new and existing clients.
  • Maintain appropriate gross profit margin for each case.
  • Maintain all scheduling of caregivers and respond to conflicts, emergencies, or “call-outs.” Ensure the company schedule is complete three days before all scheduled shifts.
  • Oversee caregiver recruiting, interviewing, and selection as needed.
  • Oversee caregiver on-boarding and orientation.
  • Fill open shifts and communicate scheduling changes to clients/families ahead of time.
  • Track and record all scheduling changes in company software.
  • Accept on-call duty as directed by supervisor.
  • Communicate hiring needs to internal staff regularly.
  • Assist in maintaining caregiver files, including tracking expirations of licensing, insurance, etc.
  • Collect new documents as directed and notify supervisor when documents cannot be obtained.
  • Audit timecards regularly to ensure hours match scheduled hours.
  • Identify and solve problems using initiative and good judgment.
  • Coordinate shift back-fill activities in the event of caregiver tardiness or absences.
  • Act as the point of contact with client families regarding schedules.
  • Maintain excellent rapport with clients and caregivers, promoting positive interpersonal relationships.
  • Work with supervisor to resolve complaints, incidents, and injuries.

Requirements

  • High School Diploma or equivalent (GED) required; Associate’s degree preferred.
  • Previous experience in customer service preferred.
  • 2 years of experience in healthcare, home health, caregiving, or a related service industry.
  • Minimum of one year in a staffing/scheduling/logistics position preferred.
  • Knowledge of general home care/healthcare staffing preferred.
  • Excellent organization and communication skills.
  • Quick-thinking and astute decision-making skills.
  • Team player with adaptability in different situations, excellent client interaction skills, and the ability to multi-task and work independently.
  • Experience using telephones with multiple lines, handling several calls simultaneously, and maintaining professionalism in a fast-paced environment.
  • Excellent problem-solving and creative-solution abilities.
