About the role
Responsible for the coordination and scheduling of Aviation corporate jet and helicopter assets and associated ground transportation, internal and external resources to include corporate and charter aircraft and livery services.
Responsibilities
- Schedules company aircraft for corporate executives, members of the Board of Directors, and other authorized employees.
- Coordinates ground transportation at departure and arrival sites and airports.
- Flight following of company aircraft, including daily coordination with the Chief Pilots and/or Pilot in Command regarding aircraft location and availability.
- Reviews and approves invoices associated with aviation and associated ground transportation.
- Maintains passenger travel records including business, personal and commuting trips associated with company aircraft usage.
- Provides assistance to executives, pilots, and outside livery companies during non-scheduled hours concerning possible delays, changes or cancellations caused by weather or aircraft maintenance conditions.
Requirements
- Associates degree
- FDA Flight Dispatcher or Pilot License preferred
- Minimum two years of experience in an administrative capacity with sensitive data processing and reporting capability
- Excellent communication, organizational, and problem-solving skills are required, along with a deep understanding of aviation regulations, compliance standards, and best practices in corporate flight operations
- Independence and creativity in problem solving
- Solid proficiency in data analysis and report preparation, along with the ability to use digital tools and automation features to improve scheduling processes and operational efficiency
- Expertise in electronic workflow management, operations software, and SAAS platforms is essential
- The Senior Scheduler collaborates with internal teams and external vendors to ensure effective scheduling and operational processes, supports the adoption of new technologies, and contributes to process improvements within established guidelines
- Understanding of flight planning to include aircraft performance, fuel economy, and vendor support selection that optimizes flight cost savings and efficiency, while maintaining the highest standards of safety
