Responsibilities
- Coordinate and facilitate referrals from physician offices for inpatient and outpatient procedures across Radiology, Interventional Radiology, Cardiology, Imaging Center, Diabetes Education, Sleep Center, and Surgery.
- Answer scheduling phone lines promptly and courteously.
- Provide appropriate procedure preparation information to physician/provider office staff and to patients.
- Request clinical notes at the time of scheduling for accounts needing pre‑certification and for patients requiring cardiac clearance.
- Maintain a positive rapport and open communication with physicians and provider offices.
- Demonstrate the ability to multitask and prioritize appropriately, promoting positive patient outcomes.
- Obtain accurate patient demographic and billing information and enter it into Meditech at the time of scheduling.
- Document all interactions with patients and/or physician/provider office staff to keep other CWS and DRH staff informed.
- Ensure all orders are valid, contain required information, and distribute them via fax to the correct department or financial counselor.
- Keep financial counselors and pre‑certification staff informed of situations needing immediate attention; provide paperwork for same‑day and next‑day add‑ons.
- Supply orders and clinical information to pre‑cert staff to obtain urgent/STAT add‑ons.
- Rename fax files for Central Scheduling and Imaging Center correctly and promptly.
- Maintain an organized pending file and follow up with pending appointments according to departmental policy; note pending patient accounts and attempted contacts.
- Return notices to physician/provider offices after unsuccessful attempts to contact patients.
- Pre‑screen patients for procedure safety and correct protocol compliance.
- Check scheduling line voicemails and return calls in a timely manner.
- Review patient reminder call reports and confirm cancellation and reschedule requests.
- Maintain regular attendance and punctuality for scheduled shifts.
- Maintain professional and technical knowledge through continuing education opportunities, both internal and external.
- Adhere to safety protocols at all times and comply with DRH policies, including required vaccinations and standards of behavior.
- Perform other related duties as assigned.
Qualifications
- Strong communication skills, fluent in oral and written English.
- Basic computer skills, including email, navigating relevant IT systems, and using Electronic Health Record tools.
- Ability to remain flexible and quickly adapt to urgent situations, modifying procedures, processes, tools, equipment, and techniques as needed.
- High school diploma or equivalent (required).
- Customer service experience with excellent verbal, listening, and written communication abilities (required).
- Organized with strong multitasking and time‑management skills (required).
- Previous scheduling experience in a medical office (preferred).
- Medical and insurance experience (preferred).
- Knowledge of anatomy, physiology, or medical terminology (preferred).
- For positions requiring travel, a current valid driver’s license and automobile liability insurance must be maintained.
- Must undergo respirator and fit testing for exposure to airborne infectious diseases, droplet‑producing procedures, or caustic chemicals.
