Samples Order Processor

About the role

We are looking for a detail-oriented, resourceful Sample Order Processor to join our team at Spartan HQ in Bel Air, MD. This role is responsible for managing the flow of sample orders from start to finish — communicating with colleagues, clients, and vendors through Outlook, processing orders accurately in Zoho CRM, and digging for information to resolve questions and keep things moving. This position is ideal for someone who is organized, naturally curious, and comfortable spending most of their day at a desk working across multiple systems and conversations at once.

Responsibilities

• Process incoming sample orders accurately and efficiently using Zoho CRM
• Communicate with colleagues, clients, and vendors via Outlook to manage order flow and resolve inquiries
• Answer inbound phone calls and provide professional, helpful responses to sample-related questions
• Research and track down product, order, and vendor information to resolve discrepancies or fulfill requests
• Maintain accurate records and documentation within Zoho CR
• Collaborate with teammates and other departments to ensure a smooth sample experience for every client
• Support the team with additional tasks and projects as needed

Requirements

• Strong attention to detail and commitment to accuracy
• Comfortable working at a desk and across multiple monitors for extended periods
• Proficiency in Microsoft Outlook; experience with Zoho CRM a plus
• Natural problem solver who enjoys researching and tracking down information
• Clear, professional communication skills via phone and email
• Reliable team player with a collaborative, can-do attitude
• Able to manage multiple tasks and priorities simultaneously
• Prior experience in an order processing, customer service, or administrative role preferred

Schedule & Hybrid Eligibility

This role is fully onsite at our Bel Air, MD headquarters Monday through Friday. After 6 months, hybrid work may be available with manager and team lead approval based on performance and business needs.
