Sample Order Associate
About the role
Provide support in managing incoming sample orders (A-C Samples).
Receive, process, and place customer sample orders.
Collect and validate necessary technical information for orders.
Ensure that customer requirements are correctly communicated to the Sample Shop area.
Release orders in SAMOS for confirmation once validated by the PM.
Track sample orders, updating delivery plans and reporting status.
Inform changes and updates to both the customer and internal teams, aligned with the PM.
Prepare and complete required documentation for deliveries and sample delays.
Manage order prioritization requests, completing forms and providing additional support.
Support internal and external escalation processes related to order delays or blockages.
Maintain continuous communication with:
- Customers
- Project Managers
- Sample Coordinators (SamCo)
- Flow of samples participants
Respond to customer inquiries via email and phone.
Develop sample quotation drafts based on agreed-upon price lists.
Support the Accounting department in resolving billing-related issues related to sample orders (e.g., delivery receipts).
Qualifications
- Educational background: Bachelor's degree.
- Experience: 0 to 3 years of professional experience.
- English language proficiency at level C1.
- Fluent communication skills in professional environments.
- Ability to understand complex documents and communicate effectively with international clients.
