Sample Coordinator (Schiller)

Responsibilities

• Process sample orders using the SampleFlow ChemOps applications to ensure accurate and timely fulfillment.
• Prepare sample orders for shipment and attach appropriate Safety Data Sheets (SDS) when required.
• Scan each sample order and its associated samples for packaging into shipping containers, complete the shipping process in accordance with IATA and/or DOT regulations, and file all shipping documents.
• Avoid international shipments and communicate shipping details to relevant stakeholders.
• Conduct physical sample inventories, including current bulk and GLP materials, reconcile records in SampleFlow ChemOps applications, and generate Excel-based inventory reports.
• Maintain the Certificate of Analysis archive for GLP samples to ensure traceability and compliance.
• Avoid oversight of the restricted GLP cage area, ensuring GLP samples are secured and maintained according to GLP regulations.
• Sub-fill sample containers while strictly adhering to all HSE, SDS, and site safety policies.
• Apply FIFRA research sample labels and stickers according to process orders, scan samples into inventory, and complete process orders in the system.
• Aliquot analytical standards in compliance with all HSE, SDS, and site safety policies.
• Identify questionable test substances based on appearance and consult the designated SampleFlow ChemOps representative when needed.
• Read, interpret, and follow all aspects of Safety Data Sheet requirements for safe chemical handling.
• Maintain SDS filing for the SampleFlow ChemOps inventory by retrieving SDS documents from the global QHSE database and other manufacturers’ or suppliers’ databases.
• Maintain bulk inventory with appropriate labels, scan items to their physical locations, and place containers on the correct shelves.
• Assist with ordering, receiving, and organizing supplies in designated areas for the SampleFlow ChemOps team.
• Support the SampleFlow ChemOps team with additional duties as requested to ensure smooth operations.
• Comply with all required IATA and DOT training related to shipping and handling of materials.
• Follow all laboratory procedures for safety and quality assurance, as well as all applicable company policies.
• Report and escalate any discrepancies with orders, computer or application issues, and other sample-related problems to the designated SampleFlow ChemOps representative.

Requirements

• Associate degree or equivalent education with 0–3 years of related experience.
• Knowledge of safe chemical handling practices.
• Knowledge of inventory maintenance processes and best practices.
• High level of computer literacy, including comfort with applications and Excel-based reporting.
• Ability to work quickly, effectively, and safely in a dynamic environment.
• Ability to lift up to 50 pounds as part of routine material handling activities.

Qualifications

• Preferred academic in a science-related field.
• Strong communication skills for coordinating with internal and external stakeholders.
• Independent thinker with the ability to troubleshoot and solve problems proactively.
• Experience in logistics or materials handling environments.
• Experience in fast-paced service environments, such as restaurant work, demonstrating multitasking and time-management skills.

Skills

• High level of integrity and reliability in handling regulated and sensitive materials.
• Ability to lift up to 50 pounds as part of routine material handling activities.

Pay and Benefits

The pay range for this position is $23.00 - $23.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
