About the role
First Tactical is seeking a detail-oriented and proactive Sales Support & Trade Show Coordinator to support our growing Sales and Operations teams. This role plays a critical part in maintaining data integrity in our CRM system (Zoho), tracking sales opportunities, managing trade show logistics, and handling day-to-day administrative tasks.
Responsibilities
- CRM Management (Zoho): Maintain the integrity and accuracy of the CRM system by ensuring customer records, contacts, opportunities, activities, and pipeline data are complete, current, and actionable.
- Partner with the sales team to ensure opportunities are updated regularly and accurately reflect the current stage of the sales process.
- Proactively follow up with end users, dealers, and internal sales team members to obtain updates and verify opportunity status.
- Monitor sales opportunities from inception through completion, ensuring appropriate documentation, next steps, and follow-up activities are recorded in the CRM.
- Track opportunity budgets, program spending, and key sales metrics to support accurate reporting, forecasting, and business planning.
- Trade Show Planning & Execution: Lead the planning and coordination of domestic trade shows and conferences, from start to finish.
- Coordinate booth reservations, registration, travel arrangements, shipping logistics, vendor communication, event timelines, and post-event follow-up.
- Prepare and distribute event materials including booth graphics, promotional literature, product samples, giveaways, apparel, signage, and marketing collateral.
- Partner with Sales, Marketing, Product Development, and Operations to ensure all event materials are accurate, complete, and delivered on schedule.
- Develop and maintain standardized trade show checklists, timelines, and operating procedures to ensure consistent event execution.
- Track trade show budgets, invoices, shipping costs, and event expenses.
- Coordinate installation and dismantle schedules while ensuring booth assets are properly accounted for before and after each event.
- Administrative Support: Perform administrative duties such as scheduling, document preparation, internal communication, and general operations support.
- Confidentiality & Accuracy: Maintain a high level of confidentiality when handling sensitive sales and business information. Ensure work is completed with a high degree of accuracy and attention to detail.
- Proactive Communication: Anticipate team and upcoming event needs, follow up on outstanding items, and take initiative to identify and resolve issues before they escalate.
- Other Duties: Provide additional support as needed by the Sales Operations Manager or broader team.
Requirements
- 2-4 years of experience in sales operations, sales support, administration, or a similar role.
- High school diploma or equivalent required; associate or bachelor’s degree in business, Communications, or related field preferred.
- Proficiency with CRM platforms and Microsoft Office.
- Strong organizational, multitasking, and communication skills.
- Proven ability to handle confidential information with discretion.
- Detail-oriented with a proactive, problem-solving mindset.
- Comfortable working both independently and in a team environment.
- Must be a U.S. citizen or national, lawfully admitted for permanent residence into the U.S. (i.e., current green card holder), or lawfully admitted as a refugee or granted asylum under 8 U.S.C. § 1157-1158.
Physical Demands & Work Conditions
- Requires working indoors in environmentally controlled conditions.
- Frequently required to stand, walk, use hands and fingers to handle and feel, and reach with hands and arms.
- Must be able to stand or sit for prolonged periods of time.
- Requires repetitive hand movements and fine coordination, including use of a computer keyboard.
- Occasionally required to lift and/or move up to 30 pounds (e.g., tradeshow materials or office supplies).
