About the Role

The Sales Support Specialist provides administrative and clerical support for critical sales programs and processes, ensuring accurate and timely execution. This role is part of the Sales Operations Team and involves significant interaction with various departments and external stakeholders.

Responsibilities

  • Job Maintenance Process:
    • Ensure accurate data entry between customer P.O.s, OCC quotes, and order acknowledgments.
    • Visually compare documents to identify and correct errors.
    • Confirm export compliance requirements via established processes.
  • MDIS Administration:
    • Oversee customer participation in the Sales Program, including application processing and certificate issuance.
    • Manage customer renewal timelines and associated paperwork, including extended warranties.
  • Front Desk Administrative Assistant – Primary Backup:
    • Provide front desk coverage for breaks, meetings, and PTO.
    • Manage phone calls professionally and oversee visitor security in compliance with NIST 800-171.
    • Handle administrative tasks such as visitor registration, badge tracking, and NDA collection.
  • RMA and Customer Complaint Processes:
    • Manage paperwork for Return Material Authorization (RMA) and Customer Complaint (CC) processes.
    • Gather data and complete forms for resolution and finance teams.
  • General Administrative Support:
    • Provide sales reports using OCC ERP and CRM systems (Syspro) and Excel.
    • Offer short-term support to other departments for simple functions.

Qualifications

  • Education: High school diploma required; Associate’s degree preferred.
  • Experience: 2-4 years in an office or customer service environment performing administrative support.
  • Skills:
    • Attention to detail and effective interpersonal, communication, and teamwork skills.
    • Intermediate knowledge of MS Word, Excel, and PowerPoint.
    • Excellent oral communication and ability to follow instructions.
    • Computer proficiency and basic math skills.

Working Conditions

Pay

$16.75 – $30.02

Schedule

Monday – Friday, 8:00 AM – 5:00 PM, with some flexibility and overtime available.
