Sales Support Engineer

About the role

Coordinate purchasing items in a timely manner, process vendor invoices, and respond to vendors’ inquiries about payment. Handle entry and billing of options-only sales orders, generate sales orders and billing documents, and coordinate shipping locally and internationally. Prepare commercial invoices, packing lists, and shipping documents. Update ERP for item receipts and provide reports for project billing. Support and improve department processes.

Responsibilities

• PO Processing:
  • Review vendors’ quotes and issue POs to vendors.
  • Coordinate to generate new vendor numbers.
  • Generate new part numbers.
  • Expedite components as needed to keep project timelines.
  • Facilitate communication between departments about material receipt.
  • Process vendors’ invoices for payment.
  • Answer vendors’ inquiries about payment processing.
  • Update processes to improve inter-departmental workflow.
• Order Processing:
  • Generate options-only sales orders based on customers’ purchase orders.
  • Ensure availability of items.
  • Bill options-only sales orders on time and generate invoices.
  • Maintain projects’ electronic and paper files.
  • Update processes to improve inter-departmental workflow.
• Process Support:
  • Generate credits, debit memos, and coordinate payments.
  • Generate proforma invoices and invoices.
  • Work with current vendors and set up new ones.
  • Generate commercial invoices, packing lists, and shipping documents.
  • Update processes to improve inter-departmental workflow.
• Clerical Work:
  • Perform clerical tasks between departments.
  • Maintain vendor filing.
• Customer Focus:
  • Maintain excellent customer service by phone and email.
  • Collaborate with customers to understand their technical requirements or needs.
  • Provide customer support and training to ensure process efficiency.
• In-House Training and Learning:
  • Participate in in-house training to learn DN Solutions America operations.
  • Demonstrate adaptability and capability to implement learned processes into daily tasks.

Requirements

• Bachelor’s degree in business management, engineering, or equivalent experience (5 years minimum).
• Experience in a business environment.
• Proficiency in Microsoft Office (Excel, Word, PowerPoint, Teams).
• Extensive knowledge of commerce operations in manufacturing, OEM, and/or machine builders.
• Full experience in purchasing, logistics, pricing, and customer service.
• SAP and ERP background.
• Excellent accuracy and attention to detail.
• Professional and confidential information handling.
• Ability to follow detailed training and quickly adapt to new processes.
• Ability to update processes for greater efficiency.
• Effective communication and customer-facing skills, with experience in technical presentations or support.
• Flexibility to adapt to cultural and operational changes.
• Open-minded and willing to learn new things.
• Desire to grow professionally through continuous learning and hands-on experience.
• Travel requirements: 5% or less.

Schedule

• 8-hour shift, Monday to Friday.
• On-site in Schaumburg, IL.
