About the role

The Contracts Administrator for PT and R&S will support the Sales and Operations teams. Key responsibilities include assisting with CRM entries, managing ERP and CRM system entries, handling bid, payment, and performance bonds, and supporting project management documentation.

Responsibilities

  • Assist with CRM entries as needed
  • Review contract and all terms to ensure Project Award Form incorporates proper information for contract set up
  • Book new contracts in ERP system based on hand off from Sales Manager
  • Ensure new contract entry captures taxable/non-taxable revenue to match final contract value
  • Establish initial Job Progress Report in ERP system with starting project budget
  • Enter contract Change Orders as needed into ERP system
  • Access online platform for entry of new projects and change orders to protect bond and lien rights
  • Avoid documentation issues by ensuring compliance per contract and company policies, and properly filing in the shared internal file location
  • Aid Sales Managers with Bid Bonds
  • Aid Sales Managers and/or Project Managers with Payment & Performance Bonds
  • Aid Project Managers with forms required for project compliance
  • Request Certificates of Insurance through online platform, review for compliance, and submit to clients
  • Obtain and submit Certificates of Insurance Renewals
  • Aid Project Managers with cost tracking, billing forecasting, and financial reviews of projects as needed
  • Generate contract billings per contract terms and Project Manager direction via SOV’s, including ensuring proper items are taxed when billed, and submitting the payment applications to clients via email or online platforms where required by contract
  • Billing retainage and submitting retainage application
  • Aid Project Managers with submittals as needed
  • Aid Project Managers with close-out documents as needed
  • Work with AR Department to execute waivers for payment applications or to obtain payment
  • Generate and process Sales Quotes and Sales Orders, including setting price as needed
  • Fully coordinate Sales Orders from PO receipt to order archive
  • Process Credit Memos as required
  • Perform other related duties as assigned

Requirements

  • Associate's degree or 4-5 years related experience and/or training; or equivalent combination of education and experience
  • 2-3 years of construction project coordination and/or contracting experience preferred
  • Experienced with MS Office - Word, Excel, Access, PowerPoint, and Outlook
  • Experienced with sales, contracts, and customer service skills

Qualifications

  • Ability to learn quickly and perform in a high-pressure and fast-paced environment
  • Ability to quickly learn and utilize ERP and other database systems
  • Candidate must be self-starting, efficient, and organized
  • Ability to respond to common inquiries or project challenges from customers
  • Ability to effectively write correspondence and present information to management, other employees, and customers
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, weights, volume, and common conversions
  • Ability to work in multiple currencies and convert currencies
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Ability to interpret an extensive variety of instructions in written and diagram form and deal with several abstract and concrete variables
  • Ability to manage multiple tasks at one time
