Summary

The Sales Coordinator is responsible for providing essential support to the sales and marketing team at the assigned community. This position assists in supporting the sales pipeline, lead follow-up activities and move-in coordination, and ensures all administrative, marketing and communication tasks are executed in a timely and professional manner.

Essential Function

  • Assists with CRM data entry and upkeep using WelcomeHome.
  • Tracks lead activity, schedules follow-ups, and ensures the team has accurate, timely sales reports and updates.
  • Prepares and organizes all necessary documentation for prospective residents, coordinates with internal departments to ensure readiness, and tracks all pre-move-in and move-in milestones.
  • Maintains organized and current records and files.
  • Prepares contracts, welcome packets, meeting materials, and marketing collateral.
  • Manages calendars and schedules for the sales team.
  • Fields calls, greets guests, and provides preliminary information about the community.
  • Ensures communications are courteous, informative, and consistent with Front Porch standards.
  • Affords assistance in planning, promoting, and facilitating internal and external events that support lead generation and community outreach.
  • Prepares RSVP lists, materials, and coordinates logistics as needed.
  • Maintains current and well-stocked Sales and Marketing Materials, including but not limited to, brochures, flyers, and promotional items.
  • Serves as a liaison between the sales team and departments such as Environmental Services and Maintenance to ensure a smooth onboarding experience for incoming residents.
  • Performs all other related duties as assigned.

Ability to prioritize responsibilities and to organize workload to ensure that timeframes are met and the work is successfully completed within deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Project Management: Demonstrated project management skills. Effectively manages to project deadlines and escalates issues as appropriate.

Education Or Equivalent Qualifications

  • Essential: High School Diploma/General
  • Preferred: Associate Degree

Physical Requirements And Working Conditions

  • Must be able to remain stationary 20% of the time.
  • Must be able to lift or carry items: Seldom: 11-25 pounds Occasionally: 11-25 pounds Frequently: 1-10 Pounds Constantly: Negligible
  • Must occasionally ascend/descend stairs to provide essential services.
  • Must succinctly communicate information and ideas so others will understand accurately exchanged information.
  • Must consistently work in an office and assisted living facility-type atmosphere.
