About the role
The Safety Support Coordinator provides comprehensive administrative and clerical support to the Executive Safety & Risk Team and reports directly to the Helix Corporate Safety Manager. This role serves as a critical point of contact for internal and external stakeholders regarding Safety & Risk Department matters, including issues of a highly confidential or sensitive nature.
Responsibilities
- Provide administrative and clerical support to the Executive Safety & Risk Team.
- Serve as a secondary point of contact for internal and external inquiries related to the Safety & Risk Department, including confidential or critical matters.
- Draft professional correspondence to internal personnel and external agencies for final review as required.
- Maintain confidentiality related to sensitive employee information, environmental data, safety issues, and security matters.
- Data Management & Reporting
- Perform data entry, maintenance, and reporting across company safety systems, including CPSuite (DOT compliance), Samsara telematics, Holman Insights, brokerage and insurance carrier platforms, and the internal incident tracking database.
- Track and analyze safety incident data streams to support reporting and continuous improvement efforts.
- Maintain accurate and organized department records, files, and personnel rosters across various platforms, with standardization across all Helix interests.
- Coordination & Event Support
- Assist in coordinating, scheduling, and documenting department meetings and activities.
- Aid in planning, coordinating, and executing the annual Safety Summit.
- Support special safety-related projects as assigned.
- Safety Compliance & Communication
- Communicate safety policies, compliance requirements, and safety-related information across the organization.
- Aid in the implementation of safety policies, practices, and procedures.
- Support incident response and reporting processes, including employee injury/illness incidents and vehicle-related events.
- Provide administrative support to the Global Helix Safety & Risk Department.
Qualifications
- Strong organizational and record-keeping skills.
- Ability to handle confidential information with discretion.
- Proficiency in data entry and database management.
- Excellent written and verbal communication skills.
- Experience in administrative or safety related roles preferred.
