Rooms Inventory Specialist - Cloister Guest Services (Full-Time)

Coordinates with Reservations, Front Desk, and Housekeeping to ensure room readiness and availability. Maximizes inventory for sell-through and increased average daily rate.

Responsibilities

  • Assign all rooms with special consideration for VIPs, special requests, group attendees, and guests with special requirements
  • Liaise with Housekeeping to ensure ready rooms for all arriving guests
  • Assist Front Desk team with block/room changes and communicate all changes to pertinent departments and meeting planners
  • Maximize daily room inventories to ensure sell-through and up-sell availability
  • Execute all Forbes Front Desk Standards for arrival/departure consistently
  • Carry out the Resort Sales Strategy consistently
  • Maintain thorough knowledge of guest services, activities, dining options, shops, local attractions, and historical information about Sea Island and the surrounding area
  • Complete Guest Problem Resolutions (GPR) forms for any issues and follow up as needed
  • Maintain cleanliness and organization in all work areas
  • Uphold departmental standards of quality and timing
  • Ensure compliance with all company and departmental policies and procedures
  • Report equipment problems, maintenance issues, safety hazards, or unsafe practices immediately
  • Attend scheduled employee meetings and bring suggestions for improvement
  • Execute other duties as delegated by leadership in a timely manner
  • Serve as the main point of contact for engineering to block and release rooms for repair or preventive maintenance
  • Primary point of contact for group planners regarding all rooming needs, including coordination for site visits, arrival turnover, and pre-conference meetings
  • Review upcoming resumes and updates, attend resume meetings, and communicate any concerns or requirements to the front office team
  • Serve as a resource and coach to front office guest service agents
  • Primary point of contact for travel agent programs and American Express guests

Requirements

  • Prior Front Desk experience at a Five-Star Resort (2 years preferred)
  • High School Diploma or equivalent credentials (College degree preferred)
  • Excellent communication skills, both written and verbal
  • Excellent guest service skills
  • Proficient in Windows XP and Microsoft Office software (Word, Excel, PowerPoint, Outlook)
  • Proficiency in Opera PMS System required
  • Ability to present information courteously in one-on-one and group situations

Physical Requirements

  • Ability to kneel, crouch, squat, climb, stand, sit, balance, reach, bend, push, pull, and walk for prolonged periods
  • Ability to perform repetitive tasks with accuracy
  • Ability to lift, carry, pull, and push up to 30 lbs intermittently throughout a shift
  • Ability to read, write, and communicate effectively in English, both written and verbal
  • May be exposed to mechanical, electrical, chemical, and fume hazards
  • Maintain compliance with Sea Island’s Company Resort Professional Image Policy
