About the Role

This position oversees an office of approximately 64 academic employees, including 11 tenured/tenure-track faculty, 4 FERP, 1 joint, 33 Lecturers, 28 Teaching Assistants, and 2 Graduate Assistants, as well as supervising 1 full-time staff. The department serves 21/22 FTES of 382.45 across seven BAs (168 students), six minors (162 students), four certificates (15 students), and four master’s degrees (56 students).

This is a temporary, full-time (1.0 time-base, 40 hours per week) position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.

Responsibilities

  • Understand, disseminate, and implement department procedures, policies, and practices.
  • Manage general, continuing education, grant, and other fund budgets (budget and fiscal management).
  • Maintain personnel files for full-time faculty, part-time faculty, teaching assistants, graduate assistants, and instructional student assistants; prepare all documents for hiring and separation.
  • Supervise and coordinate clerical functions, including planning assignments, training staff, and distributing workload based on deadlines.
  • Arrange events and activities, including preparing forms, correspondence, brochures, and announcements.
  • Handle departmental record-keeping, records processing, reports, and written material preparation.
  • Serve as the primary resource for department policy and practice for faculty, students, and staff, ensuring continuity in policy and procedure.

Requirements

  • Bachelor’s degree or equivalent; Bachelor’s degree preferred.
  • Two years of related experience required; academic department or program experience preferred.
  • Advanced problem-solving and organizational skills.
  • Managerial, supervisory, and interpersonal skills for daily delegation and supervision of office staff.
  • Knowledge of budget and fiscal resources, allocations, and accountability.
  • Ability to provide professional representation for the department to all constituencies.
  • Ability to develop and deliver essential information through written and oral interactions.
  • Ability to establish and maintain collaborative working relationships with faculty, academic departments, the dean’s office, and various on- and off-campus offices and individuals.
  • Working knowledge of Windows, word processing, spreadsheet software, databases, web pages, email, and CMS.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines, including safety, civility, information security, and non-discrimination policies.
  • Ability to contribute to a positive university experience for students and support the university’s commitment to a "vision of excellence."

Pay

Salary placement is determined by the candidate’s education, experience, and qualifications, internal equity, and the hiring department’s fiscal resources. The CSU Classification Salary Range for this position is $4,799 (Step #1) - $6,992 (Step #20) per month.

To be eligible for full benefits, employees must be appointed at least half-time (.50 FTE) with an appointment lasting more than six months and one day. Benefits eligibility and offerings may vary based on appointment type, classification, and applicable collective bargaining agreement.

Work Environment

Sedentary work involving mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects (10 pounds or less).
