About the Role

This position is responsible for providing efficient, timely support to lenders in the origination of residential loans and facilitating loan management processes. Works self-sufficiently to manage a pipeline, adapts easily to daily priority changes, and utilizes independent judgment to resolve standard file issues.

Responsibilities

  • Provides professional, courteous, and efficient service to all internal and external customers while facilitating the loan process.
  • Demonstrates working knowledge of secondary market guidelines, effectively researching Fannie Mae and Freddie Mac tools to resolve standard file requirements.
  • Provides administrative assistance to the residential loan officers, including inputting and updating loan data in the loan origination system and secondary market investor’s websites.
  • Confers with residential loan officers, customers, title attorneys, and surveyors to aid in resolving mortgage issues.
  • Assembles and verifies accuracy of residential loan documentation.
  • Provides assistance to residential loan officers in preparing and sending secondary market loans to investors for loan decisioning.
  • Efficiently navigates the loan origination software system and provides support to internal and external customers.
  • Assists in ensuring that documentation in the residential loan files being processed contains proper signatures, dates, and other relevant data.
  • Orders and reviews title packages, mortgage inspection plans, appraisals, and verifications.
  • Assures regulatory disclosure compliance during the loan process, including HMDA, RESPA, Regulation Z, Regulation B, Flood, and any other applicable regulations.
  • Prepares all loan document packages, including but not limited to commitment letters, counter-offer letters, Regulation Z disclosures, and 30-day letters.
  • Maintains ongoing communication with customers/clients during and after the loan origination process to request documentation for outstanding approval conditions.
  • Proficient in the loan origination process, ensuring quick turnaround times and timely closings.
  • Proactively manages pipeline, analyzes and calculates income sources for file completeness, and requests missing documentation.
  • Communicates with real estate agents, attorneys, insurance agents, internal loan closers, and all other parties involved to facilitate the loan origination and closing process.
  • Performs general filing, typing, and extensive use of a PC.
  • Attends staff meetings.
  • Performs other miscellaneous duties or special assignments as required or assigned.

Requirements

  • High school graduate or equivalent.
  • Minimum two years of experience in loan processing or similar background; 3–5 years preferred.
  • Elevated knowledge of loan compliance, regulatory issues, and documentation.
  • Solid understanding of the loan application and loan closing process.
  • Proven ability to deliver quality work during times of increased volumes.
  • Ability to interpret title packages and recognize title defects/inaccuracies.
  • Strong written and verbal communication, organizational, and interpersonal skills, particularly in working with documentation that requires special or confidential handling.

  • Proficiency with Microsoft Office products; comfortable learning new software as required.

  • Ability to work independently and as a team player.
  • Ability to, with or without accommodations, read/see documents and computer screens, communicate in person via telephone or Zoom/Teams calls, and use a computer and other office equipment.
  • Dependable and conforms to punctuality and attendance standards.

Working Conditions

  • Physical surroundings are generally pleasant and comfortable with protection from weather conditions but not necessarily from temperature changes.
  • Normally seated with freedom of movement on a regular basis.
  • Extensive operation of computers and other office equipment requiring dexterity and coordination and frequent use of hands.
  • Must be capable of performing all duties and responsibilities, either unaided or with the assistance of a reasonable accommodation, as determined by management.
