The Resident Operations Associate is a cross-functional role responsible for supporting Utilities and Homeowners Association (HOA) functions within Resident Operations. Serves as a subject matter expert in utility administration, HOA and city code compliance, and reporting. Partners with internal and external stakeholders (e.g., internal departments, third-party vendors, utility providers, HOA management companies, municipalities, etc.) to resolve issues, maintain compliance, mitigate risk, and drive operational excellence. Conducts complex research, manages escalated cases, identifies process improvement opportunities, and supports team development through training and mentorship. Responsibilities Manage HOA and municipal compliance activities, including violations, assessments, architectural requests, leasing restrictions, and city code matters. Monitor compliance notices and dashboards to ensure timely investigation and resolution of issues, and research, investigate, and resolve escalated HOA matters, including liens, collection notices, attorney demand letters, and compliance disputes. Participate in HOA hearings, appeals, meetings, and special projects as needed.Coordinate utility operations for residential properties by interpreting provider requirements, overseeing account lifecycle activities, resolving service exceptions, and ensuring accurate utility account administration.Monitor third-party utility vendor performance and escalate operational issues as needed.Conduct recurring audits and prepare reports to ensure data accuracy, compliance, and operational effectiveness. Requirements High school diploma or GED requiredBachelor’s degree preferredMinimum two (2) years of Resident Operations (e.g., HOA, utilities) experience requiredExperience with Microsoft Dynamics CRM and Yardi requiredExperience in customer service, compliance, pre-suit negotiations and settlements, accounts payable and reconciliation, and case coordination/management requiredExperience handling and resolving escalated issues requiredProficiency in Microsoft Office Suite (e.g., Word, Outlook, Excel) requiredExcellent verbal and written communication, problem-solving, planning and analysis skillsStrong relationship management, organizational, and customer service skillsAbility to meet multiple deadlinesAbility to maintain confidentialityAbility to identify and implement process improvement changesAbility to work in a team environmentStrong attention to detailAbility to adapt and be flexible to a changing environment Compensation The anticipated pay range/scale for this position is $25.50 to $30.61 Hourly. Actual starting base pay within this range will depend on factors including geographic location, education, training, skills, and relevant experience. Additional Compensation This position is not bonus-eligible.
