About the Role

This position manages and oversees the administrative support functions for an independent pediatric fellowship program and divisions within the Department of Pediatrics. The role provides direction, leadership, and day-to-day management of the program, including support of the fellowship Program Director, Associate Program Director, and three+ pediatric fellows.

Responsibilities

  • Manages the development, planning, and coordination of the fellowship program within the Department of Pediatrics.
  • Assists with day-to-day operations of the fellowship program.
  • Serves as a liaison between and communicates with all appropriate campus offices, department program director, and staff.
  • Attends required meetings conducted by AU GME office, pediatric fellowship program director, and department fellowship coordinators.
  • Monitors duty hours and tracks leave time in the appropriate system.
  • Distributes send-outs for fellow evaluations to fellows, faculty, nurses, and clinical staff.
  • Registers fellows for the yearly in-training exam.
  • Assists with implementing policies related to the AU Graduate Medical Education (GME) Office and American College of Graduate Medical Education (ACGME).
  • Develops, organizes, and directs recruitment activities.
  • Administers and manages the implementation of all rules, regulations, and prescripts regulating educational programs.
  • Reviews participant requirements such as credentialing, licensure, FMG, and visa.
  • Submits required paperwork on new fellows to the GME office and sets up training grants if necessary.
  • Ensures program accreditation with regard to compliance of potential participants with the criteria of corresponding organizations.
  • Maintains all house staff personnel records, including confidential evaluation and counseling records.
  • Serves as administrative support for the Fellowship Program Director.
  • Develops reports and provides pertinent data to the Program Director and faculty.
  • Prepares written reports and correspondence for the Program Director relative to the fellowship program.
  • Maintains up-to-date knowledge of ACGME policies and procedures.
  • Initiates, oversees, and monitors the house staff budget.
  • Compiles and submits reports to ACGME, American Board of Pediatrics (APB), American Academy of Pediatrics (AAP), American Association of Medical Colleges (AAMC), American Medical Association (AMA), and other professional organizations as required.

Requirements

  • Associate's degree from an accredited college or university in a related field with two years of directly related experience in an educational program.
  • OR High School Diploma/GED from a recognized State or Federal accrediting organization with five years of directly related experience in an educational program.

Skills

  • Proficient in Microsoft Office and other computer software/databases.
  • Detail-oriented with excellent interpersonal, written, and verbal communication skills.
  • Ability to maintain confidentiality.

Pay

Pay Band: B5, Salary Range: $17.88/hourly - $21.92/hourly. Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.

Schedule

Shift: Days/M-F, 8:00 a.m. - 5:00 p.m.
