Residency/Fellowship Coordinator - Surgery General

Job Responsibilities

  • Accreditation
    • Plan and prepare annual Program Evaluation and Clinical Competency Committees meetings.
    • Submit required reports to GME and ACGME by deadlines.
    • Review and update program information for web ads.
    • Document and submit program changes requiring GMEC approval.
  • Recruitment
    • Coordinate recruitment activities.
    • Prepare and distribute information to interested applicants.
    • Arrange interview logistics and distribute interview packets.
    • Organize materials and meetings for ranking and matching residents.
    • Update NRMP match information and enter rank lists.
  • Onboarding
    • Communicate with incoming residents on important dates and events.
    • Oversee activities for incoming residents, including licensing, certifications, and workspace arrangement.
    • Organize the “in program” schedule and welcome events.
  • Schedules/Rotations
    • Create and obtain approval for annual and clinic rotation schedules.
    • Develop rotation schedules that meet curriculum requirements.
  • Evaluations
    • Manage active evaluations for compliance and accuracy.
    • Coordinate evaluation review and delivery processes.
    • Prepare and distribute aggregate faculty evaluations.
  • Conferences
    • Assist with daily conference administration and logistics.
    • Support weekly Grand Rounds administration.
  • Compliance/Testing
    • Ensure accurate leave times are recorded in MedHub and Workday.
    • Support the preparation and administering of In Training exams and Board Prep exams.
    • Handle correspondence from agencies requesting verification of residency.
  • Reports and Presentations
    • Work with Chair, program director, and other residency coordinators to prepare reports and complete surveys.
    • Aid in the preparation of documents for RRC.
  • Graduating/Alumni
    • Plan graduation activities with program director.
    • Coordinate logistics of events with the planning team.
    • Ensure graduating trainees complete transition items.
    • Complete documents for former residents.
    • Submit forms for certificates, verifications, and answer surveys/questionnaires.
    • Engage alumni in program events and information.
  • Other Duties
    • Manage faculty information and data.
    • Manage website and social media updates.
    • Plan and manage program events (resident social events, welcome events, research, and speaker events).
    • Plan GME and Coordinator Council Training events and meetings.
    • Complete visiting trainee requests and documentation.

Qualifications

  • Four (4) years of relevant work experience.
  • Five (5) years’ experience in an academic setting preferred.
  • Knowledge of medical terminology and residency programs.
  • Experience in ERAS, ACGME, MedHub, C-TAGME, Workday, and Qgenda.
  • Communication, computer, interpersonal, organization, multi-tasking, time management, attention to detail skills.
