About the role
The Reservations Coordinator acts as the primary resource for the operational and administrative functions of Group Block Management, ensures that all Group Bookings are handled and processed efficiently and accurately through consistent interactions with the Sales, Events and Front Office Teams in addition to assisting the Reservations Manager in managing the department's day-to-day activities when asked.
Responsibilities
- Prepares for guest arrival by blocking specialty room types, confirming guest preferences, and ensuring accurate billing is set up for future reservations
- Work with Event Planning Managers and Group Clients to process group rooming lists, reservation and room block changes, and set up appropriate group billing – according to contract and email history
- Understands the working relationship between the sales/events, reservations and operations departments to uphold customer satisfaction
- Create and maintain files on group bookings including weekly group audit, detailing group resumes and completing post-con reports in a timely manner
- Attend Pickup Meetings with Sales and Event Planning teams
- Seek approval for room block adjustments as needed
- Attend Pre-Cons for incoming groups and reports information provided back to the team
- Maintains a working knowledge of World of Hyatt loyalty program and the benefits provided to our elite members. Explores opportunities that drive profit, create value for guests and encourage innovation
- Serve as a liaison with the accounting department to ensure any billing adjustment requests are completed
- Support reservation agents by taking group and leisure/transient reservation phone calls and assisting with any daily tasks if asked
- Provides assistance to our Central Reservations team by taking calls for both transient and group reservations as needed
- Assists in completing the daily reservations departmental checklist

Skills
- Preferred Microsoft Windows Office Suite Skills, mainly Excel and Outlook
- Systems Knowledge: Microsoft Excel and Outlook, Opera (PMS and Configuration), Reserve (Reservations, Inventory and Group Maintenance Screen), Third Party Extranets (Expedia, Booking.com, Passkey, OnPeak, Event Connect, etc), Sertifi systems
