Remote Receptionist (PRN)
About the role
The Intake and Scheduling Coordinator (“ISC”) acts as the liaison between patients and providers, ensuring patient appointments are scheduled properly for Behavioral Health visits and all necessary intake information is completed before the appointment. The ISC confirms all parties are notified of dates and times, resolves scheduling conflicts, and facilitates relations between the practice and outside counselors to ensure patient continuity of care.
Administrative duties include responding to medical record requests, referral processing, insurance authorizations, patient appointment scheduling, program communication, and communication with referral sources.
Consistent availability is required on Wednesdays from 8a-6p, with flexibility to work other days occasionally (approximately 10 hours per week) to cover vacations, sick time, or additional workload.
Responsibilities
- Act as a key point of contact between patients and providers, relaying information, concerns, and feedback to ensure mutual understanding and collaboration.
- Contact patients prior to appointments via verbal call for courtesy reminders.
- Triage incoming phone calls to the department.
- Ensure patient demographic and insurance information is accurate and updated; collect patient copay over the phone.
- Advocate for necessary resources, support, and improvements to enhance clinic performance.
- Respond to medical record requests and adhere to HIPAA requirements and patient confidentiality policies.
- Track, coordinate, and communicate patient referrals, ensuring complete and accurate patient registration, including demographics and insurance information.
- Assemble information concerning patient’s clinical background and referral needs.
- Contact insurance companies to verify benefits and prior authorization approval requirements.
- Review details and expectations of referrals with potential patients and ensure referrals are addressed in a timely manner.
- Complete prior authorizations as needed for referrals.
- Contact patients regarding upcoming or missed appointments.
- Answer and triage phone calls from patients.
- Utilize EMR functionality to address patient care duties.
- Act with honesty and integrity in all business transactions, including employment applications, patient records, time records, and financial transactions.
- Perform all other duties as assigned.
Requirements
- Reliable internet with minimum download and upload speeds of 50 Mbps (separately, not combined) for remote position.
- Ability to use Ring Central for Wi-Fi calling on a personal cell phone and/or a company-provided stationary phone.
- Functioning computer (desktop and/or laptop) provided by the company.
- High School graduate or equivalent.
- Iowa Mandatory Reporting certification (Adult and Child).
- College work preferred.
