Remote Administrative Assistant

This full-time remote role is a fantastic opportunity for a proactive individual to provide crucial administrative support to our dynamic team, ensuring the smooth and efficient running of our daily operations.

Responsibilities

• Serve as the first point of contact for clients, handling enquiries via email and telephone with a high degree of professionalism.
• Manage and coordinate schedules, appointments, and calendars for our project managers and painting teams.
• Prepare, issue, and track client quotations, invoices, and other project-related documentation.
• Maintain organised and accurate digital files, including client records and project details.
• Assist with basic bookkeeping duties, such as expense tracking and data entry.
• Liaise with suppliers to order materials and ensure timely delivery for projects.
• Provide comprehensive administrative support to the entire team to enhance operational efficiency.

Qualifications

• Proven experience in an administrative, virtual assistant, or similar support role.
• Exceptional organisational and time-management skills, with the ability to prioritise tasks effectively.
• Excellent written and verbal communication skills and a professional telephone manner.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar productivity software.
• A self-motivated individual with the ability to work independently and take initiative.
• A strong customer service focus with a commitment to providing a positive client experience.
• A reliable internet connection and a dedicated, quiet workspace are essential for this remote role.
• Previous experience within the trade services or construction industry is advantageous but not required.

Pay

$45 - $59 USD per hour
