VRC Companies, LLC (“VRC”) seeks a Release of Information (ROI) Specialist I within the VitalChart department to process assigned medical-record requests accurately, efficiently, and in full compliance with HIPAA, state/federal statutes, and VRC policies.

Responsibilities

  • Process Continuing Care and Disability Determination Services requests; cross-train on additional request types as directed.
  • Access, validate, and fulfill ROI requests daily, prioritizing by turnaround timeframes and client agreements.
  • Verify signed patient authorizations for HIPAA and statutory compliance.
  • Classify request type, log into ROI software, retrieve/upload requested portions of the medical chart (electronic or physical).
  • Perform Quality Control checks to prevent PHI breaches and ensure release accuracy.
  • Adjust invoices as needed and release records to valid requesting entities.
  • Reject non-compliant or invalid requests.
  • Return physical records to proper repository per client procedure.
  • Document exceptions, communications, and relevant request details in ROI software.
  • Escalate questionable requests, suspected breaches, or delays to supervisor immediately.
  • Respond to requestor inquiries professionally and efficiently.
  • Secure all records and files before leaving work area.
  • Maintain adequate office supplies to avoid workflow interruptions.
  • Assist with additional facilities or request types during backlogs.
  • Adapt to changes in healthcare facility assignments (on-site or remote).
  • Adhere to VRC, healthcare facility, HIPAA, and labor regulations.
  • Create and update client invoices and billing materials.
  • Keep client information details current.
  • Complete all required training within designated timeframes.
  • Report connectivity issues, equipment malfunctions, or security risks promptly.

Requirements

  • High School Diploma (GED) required; degree preferred.
  • Prior ROI fulfillment experience preferred.
  • Strong attention to detail and ability to prioritize, organize, and meet deadlines.
  • Excellent documentation and communication skills.
  • Basic knowledge of medical records and HIPAA regulations.
  • Experience with EHR/EMR platforms and Windows/Microsoft Office products.
  • Proficiency with printers, fax machines, scanners, and microfilm equipment.
  • Ability to stay focused on tasks for extended periods.
  • Fluency in English; bilingual skills desirable.
