Registration Specialist II Float
About the role
OCR has been the premier provider of orthopaedic care in Colorado, Wyoming, and Nebraska for 55 years. The Registration Specialist II (Float) performs routine clerical and customer service tasks associated with the patient registration and checkout process. This includes greeting patients, gathering insurance and demographic information, obtaining referrals or authorizations, collecting co-pays, issuing receipts, maintaining a balanced cash drawer, and answering patient questions.
This position works closely with other Central Services departments and Registration team leadership to ensure customer service is a priority at registration and checkout. The RS-II (Float) also fills the role of a Float for the team, assisting with coverage at any of the offices in their division and cross-training in other departments as needed.
Responsibilities
- Greet patients, visitors, and/or vendors according to established protocol and direct them to appropriate clinic locations.
- Ensure the clinic opens and closes on time according to the established checklist.
- Demonstrate a thorough understanding of insurance plans (e.g., HMO, PPO, POS, indemnity, worker’s compensation, no fault) and OCR’s participation with insurance carriers.
- Verify insurance benefits and load insurances into the practice management software, including rules on order of insurance.
- Collect co-pays and outstanding patient balances, and balance the cash drawer daily.
- Schedule recheck patient appointments.
- Provide excellent customer service, ensuring patients and visitors are treated professionally and courteously.
- Monitor the lobby to accommodate patients, keep them apprised of estimated waiting times, and offer assistance as needed.
- Maintain up-to-date reference materials on insurance plans as provided by the manager.
- Research insurance information and referral requirements to identify participation with OCR.
- Demonstrate thorough knowledge of the practice management system and all pertinent computer fields (e.g., insurance, patient, and appointment screens).
- Recognize potential credit problems with patients and contact appropriate business office personnel.
- Coordinate tasks to fill "down time" at the registration desk.
- Ensure accounts for new patients are created according to established guidelines.
- Work daily reports and work queues to ensure accurate data entry and appropriate referrals.
- Communicate concerns, risk management issues, protocol breakdowns, and constructive criticisms to the supervisor.
- Maintain a clean and orderly work area, including the lobby, and ensure fresh coffee is available.
- Follow OCR and departmental policies and procedures.
- Perform other duties as assigned.
Requirements
- High School Diploma or equivalent.
- Minimum 1 year of experience in a customer-facing service position; medical office reception experience is a plus.
- Working knowledge of Microsoft Office Suite or related software, scheduling and medical records software, and similar computer applications.
- Ability to quickly learn multi-line phone systems.
- Core competencies in customer service, interpersonal skills, communication, teamwork, attendance/punctuality, and confidentiality.
Physical Requirements
The work environment is a typical office setting with significant distractions, including staff, patients, and vendors walking through, conversations, ringing telephones, and interruptions.
- Frequently required to sit and use hands to finger, handle, or feel objects, tools, or controls for up to 8 hours a day.
- Frequently required to talk or hear and must speak articulately.
- Occasionally required to stand, walk, reach with hands and arms, stoop, kneel, crouch, or crawl.
- May occasionally lift and/or move up to 25 pounds in a safe manner.
- Specific vision abilities required include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
