Regional Facility Coordinator

About the Role

The Regional Facility Coordinator is responsible for coordinating activities and resources across multiple geographically dispersed sites in support of daily operations and projects that impact various departments, systems, and workflows with moderate to high risk and complexity. This role works with multiple stakeholders to ensure account operations are conducted in accordance with approved operating guidelines and within budget.

Success in this role is measured by delivery on contract promises, increased effectiveness and efficiency of services through ISS standards and best practices, successful delivery of prioritized tasks, and alignment of project delivery with business needs.

Responsibilities

• Generate purchase orders, conduct reconciliation, develop reports, and ensure accurate billing for payments in support of multiple Facility Managers (FM) and sites.
• Monitor preventative maintenance schedules in conjunction with site teams and ensure urgent maintenance calls are dispatched per priority matrix guidelines.
• Coordinate daily requirements and requests to operate and facilitate services across multiple sites.
• Communicate operating philosophy, objectives, and expectations to build site teams.
• Maintain open lines of communication with customers, alliance partners, and operations managers.
• Comply with all company policies and procedures and adhere to company standards.
• Develop and maintain a detailed project schedule, including administrative tasks for all sites involved.
• Ensure coordination of interfaces across Operations, including KPI compliance measures.
• Code invoices for approval to correct cost centers and process payments across multiple sites.
• Work with vendors on inquiries and payment issues.
• Support the processing and application of weekly payroll tasks.
• Participate in the creation of emergency preparedness plans and oversee/coordinate FMS compliance.
• Promote the IFS model within the ISS community and support the team under the Head of Contract Management.
• Collaborate, create, and disseminate best practices throughout the account.

Key Areas of Collaboration

• Communicate effectively with colleagues within the Segment and across the company to disseminate information and participate in project groups.
• Engage with Account Organization, Risk Management and Compliance, Customer Organization, Local Excellence Functions, External Partners, and Suppliers.
• Collaborate with account-dedicated People & Culture, HSE, and Finance teams.

Requirements

• 5+ years’ experience in facility management.
• Advanced proficiency in Microsoft Office (Outlook, Excel, Word).
• Knowledge of Facilities Software.
• Excellent customer service skills.
• Ability to work with a budget.
• Ability to read and understand standard business documentation (e.g., contract language).
• Solid written and oral communication skills.
• Strong organizational and team-building skills.
• Proven ability to work on several projects simultaneously and under tight schedules.
• Must be a team player and committed to working in a quality environment.
• Travel requirements: 15%.

Physical Demands & Work Environment

• Sitting at a computer for up to 100% of the time.
• Must be able to lift a minimum of 10 pounds.
• Able to work under pressure and time deadlines during peak periods.

Pay

The annual salary range for this position is $57,000.00 – $70,000.00 per year. Final compensation will be determined based on experience and skills and may vary from the range listed above.
